Job overview

An exciting opportunity has arisen to join our experienced and supportive administrative team within the busy Urology Department at Epsom General Hospital.

This role will primarily support our Stone Team, ensuring patients are monitored and progressed efficiently throughout their treatment pathway. Key responsibilities include coordinating surgical procedures, managing theatre scheduling, and overseeing Stone outpatient clinic bookings to ensure patients receive timely, high-quality care.

Our Urology Pod consists of nine Patient Pathway Coordinators and two Patient Pathway Assistants, providing administrative support to 16 consultants, the Cancer Clinical Nurse Specialist (CNS) team, and the Urology CNS team, all based within our dedicated Urology Centre at Epsom.

This is a fantastic developmental opportunity for someone looking to build extensive NHS administrative experience within a large, specialist service. You'll gain valuable insight into patient pathway management, elective care, and multidisciplinary working while developing skills that provide an excellent foundation for future career progression within the NHS.

Main duties of the job

Main Duties

Coordinate and schedule elective theatre lists for the Stone Team, ensuring efficient use of theatre capacity and compliance with waiting time targets.
Monitor and manage departmental email inboxes, responding promptly to queries and escalating issues where appropriate.
Provide comprehensive administrative support for multidisciplinary team (MDT) meetings, including preparing agendas, recording outcomes, and actioning follow-up tasks.
Work collaboratively with consultants, clinical nurse specialists, ward staff, theatre teams, and other departments to ensure patients progress smoothly through their treatment pathway.
Manage outpatient clinic bookings, including scheduling new and follow-up appointments, clinic utilisation, and patient communication.
Track and monitor patient pathways to ensure RTT and other national waiting time standards are met, proactively identifying and resolving delays.
Liaise with patients regarding appointments, admissions, investigations, and surgical procedures, providing a professional and compassionate service.
Maintain accurate patient records on hospital information systems, ensuring data quality and confidentiality at all times.
Support the validation of waiting lists and contribute to service improvement initiatives aimed at enhancing patient care and operational efficiency.
Undertake any other administrative duties appropriate to the role to support the smooth running of the Urology service.
