Overview
We are seeking a dedicated and organised Volunteer Secretary to support the Director in managing administrative tasks and ensuring smooth daily operations. This paid position offers an excellent opportunity for individuals with strong clerical skills and a passion for organisational excellence to contribute to our organisation’s success. The role requires a proactive approach, attention to detail, and proficiency with various office software. Please note, this is a volunteer unpaid role. This role will help you gain experience of working in a community organisation and kick start your career. Students, housewives (starting after a break in work), people restricted to work limited hours, ones looking to gain experience for their first paid job are welcome to apply.

Responsibilities

Managing correspondence and communication on behalf of the Director, including emails, letters, and phone calls
Organising meetings, preparing agendas, and taking accurate minutes
Maintaining and updating records using software such as QuickBooks, Microsoft Office, and Google Workspace
Data entry and management of organisational databases with precision and efficiency
Assisting with scheduling appointments and managing the Director’s calendar
Handling administrative tasks such as filing, photocopying, and document preparation
Providing excellent phone etiquette when liaising with internal teams and external contacts
Supporting financial record keeping using QuickBooks and processing invoices or receipts as required
Ensuring all administrative procedures are followed accurately and confidentially

Requirements

No previous experience needed
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
Experience with QuickBooks or similar accounting software is desirable
Strong data entry skills with high accuracy and typing speed
Excellent organisational skills with the ability to prioritise tasks effectively
Good communication skills, including professional phone etiquettes
Ability to work independently with minimal supervision while maintaining attention to detail
A proactive attitude with a willingness to learn new tools and procedures
