Full job description

Procurement Administrator

Penn Contracting has been established for over 30 years and is growing fast, carrying out refurbishment projects ranging from £100k to £3m in and around London. We focus on high-quality projects with an uncompromising attitude to our work. We currently have several projects in central London and Surrey.

About the Role

Penn Contracting is seeking a proactive and organised Procurement Administrator to join our growing back-office team. This is an excellent opportunity for someone who enjoys working in a fast-paced and reactive environment and takes pride in ensuring materials, plant and services are procured efficiently to support the successful delivery of our projects. Working closely with our operational teams, suppliers and subcontractors, you will play a key role in the day-to-day procurement process, helping to maintain strong supplier relationships, monitor orders and keep projects running smoothly. The successful candidate will be confident working independently whilst also collaborating effectively with colleagues across the business.

Any candidate should have as minimum:

Essential

GCSE Grade 4/C or above (or equivalent) in English and Maths.
Proficiency in Microsoft 365, with strong working knowledge of Microsoft Excel and Outlook.
Excellent written and verbal communication skills, with the confidence to communicate professionally with suppliers, clients and colleagues at all levels.
Strong organisational skills with the ability to manage multiple tasks and prioritise workloads effectively.
Ability to work independently using initiative whilst also contributing positively as part of a team.
A confident and proactive approach to problem solving.
Ability to work accurately under pressure and meet deadlines in a fast-paced environment.
High level of attention to detail and commitment to maintaining accurate records.
Flexible and willing to adapt to support different areas of the business as company requirements change.

Desirable

Previous experience in a procurement or purchasing administration role.
Experience working within the construction industry or a construction back-office environment.
Knowledge of procurement processes, supplier management and purchase order systems.

Key Responsibilities

Raise and process purchase orders accurately and efficiently.
Source materials, plant and services in line with project requirements and company procedures.
Liaise with suppliers to obtain quotations, negotiate where appropriate and confirm delivery schedules.
Build and maintain positive relationships with suppliers, clients and colleagues.
Monitor outstanding orders and proactively resolve any supply or delivery issues.
Maintain accurate procurement records and ensure all documentation is up to date.
Support the commercial and operational teams with procurement-related administration.
Use Microsoft 365 applications, particularly Excel and Outlook, to manage procurement data, communications and reporting.
Ensure invoices, delivery notes and purchase orders are reconciled and discrepancies are resolved promptly.
Assist with supplier onboarding and maintain supplier databases.
Work independently to manage workloads whilst contributing positively as part of the wider team.
Prioritise tasks effectively and remain organised when working under pressure to meet project deadlines.
Provide general administrative support to the business and undertake additional duties as required to meet the needs of the business.

Job Type:

Part time, full time, permanent, hybrid.
Ability to Reliably Commute- Ashtead and Cobham.
Driving license (required).
Adhering to Penn / Bright HR Policy and Procedures.

Salary:

From £14 per hour, dependant on experience.

Hours of Work:

9:00am-5:00pm.

Pension:

You will be automatically enrolled into the Government NEST scheme.

Holiday Entitlement:

The holiday year is 1 Jan to 31 Dec and holiday entitlement is 28 days (pro rata) including Bank Holiday, subject to director approval.

Sick Pay:

Statutory only.
