Job Summary

We are seeking a proactive and detail-oriented Administrative Assistant to join our dynamic team. In this vital role, you will provide comprehensive administrative support to ensure smooth daily operations across various departments. Your energetic approach and organizational prowess will help streamline processes, manage correspondence, and maintain an efficient office environment. This paid position offers an exciting opportunity to develop your skills while contributing to a collaborative and fast-paced workplace.

Responsibilities

Manage incoming calls with professionalism, demonstrating excellent phone etiquette and clear communication.
Organize and maintain files, records, and documents using both physical filing systems and digital tools such as Google Workspace and Microsoft Office.
Perform data entry tasks accurately into systems like QuickBooks and other databases, ensuring all information is up-to-date and accessible.
Schedule appointments, meetings, and coordinate calendars to optimize team productivity.
Assist with preparing reports, presentations, and correspondence using computer skills in Microsoft Office applications.
Support clerical tasks such as photocopying, scanning, mailing, and ordering office supplies to keep the workspace well-stocked.
Handle administrative duties efficiently by prioritizing tasks, managing deadlines, and maintaining organizational flow.

Requirements

Proven office experience demonstrating strong organizational skills and attention to detail.
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive, Calendar), and basic data entry.
Previous administrative experience with familiarity in QuickBooks or similar accounting software is a plus.
Excellent phone etiquette with the ability to communicate clearly and professionally in all interactions.
Strong typing skills with high accuracy; ability to handle multiple tasks simultaneously under tight deadlines.
Knowledge of clerical procedures and office management practices.
Ability to adapt quickly to new software tools or processes as needed for efficient workflow.
