About Jessie May
Jessie May provides specialist nursing care at home for children and young people with life‑limiting and life‑threatening conditions across Bristol, South Gloucestershire, North Somerset, Bath & North East Somerset, and Wiltshire.
We support families through life, end of life and bereavement, helping children be children and giving families the space and support they need.
The Role
We are looking for a highly organised and proactive Care & Team Around the Family Administrator to support the smooth running of our Care Team.
You will coordinate visit schedules, manage family correspondence, maintain accurate records, and act as the operational anchor for day‑to‑day activity. This role suits someone who thrives on structure, works at pace, and takes pride in getting things right first time.
You will work closely with the Team Around the Family Manager and Care Team Leaders, using your judgement to prioritise tasks and keep essential systems running efficiently.
Key Responsibilities
Care & TAF Administration
- Manage correspondence with families, including visit bookings and changes.
- Monitor care‑related inboxes and calls, ensuring timely responses.
- Collate and record paperwork daily, maintaining accurate and compliant records.
- Lead on new referrals administration and caseload change communication.
- Support TAF activities, including data recording and supplier liaison.
- Use Mailchimp for care and TAF communications.
Planning & Scheduling
- Schedule nurse at‑home visits.
- Maintain the children’s planning spreadsheet (preferences, visit numbers, manual handling needs, safeguarding notes, lead nurse information).
- Generate nurse rotas and input them into SystmOne.
- Coordinate checks with Care Team Leaders before schedules are finalised.
- Communicate visit schedules and changes to families.
SystmOne & Data Management
- Maintain care records in SystmOne.
- Act as a SystmOne super user, supporting colleagues and maintaining system standards.
- Collate data for dashboards and reporting.
What We’re Looking For
Essential
- Experience in a busy administrative role with competing priorities.
- Experience coordinating schedules, rotas or bookings.
- Strong record‑keeping and accuracy.
- Confident using Microsoft 365.
- Able to work at pace with excellent attention to detail.
- Highly organised, with strong follow‑through.
- Strong written and verbal communication skills.
- Able to quickly learn new systems and processes.
- Positive, calm, reliable and solutions‑focused.
- Comfortable working independently and as part of a wider team.
- Commitment to safeguarding, confidentiality and high‑quality service.
Desirable
- Experience using CRMs or clinical systems.
- Experience working with sensitive data.
- Experience using Mailchimp.
- Experience supporting family‑facing services in the third or public sector.
