Conference & Events Manager

MICE Concierge Ltd – Central Bedfordshire
Full-time, permanent, office based with scope for Hybrid working after training.

MICE Concierge Ltd is a leading event services company based in Central Bedfordshire, specialising in the successful planning and delivery of in-person, virtual, and hybrid events for associations and corporate clients.

Our comprehensive service offering includes onsite registration and badging, congress accommodation management, venue sourcing, pre-event registration platforms, conference app production, exhibition management, speaker and abstract management, event websites, and full meeting management.

We work extensively with EventsAir across all our services and we are currently seeking an experienced Conference & Events Manager to join our team on a full-time basis.

The Role

As a result of our continued growth, we are seeking a dynamic and highly organized Conference and Events Manager to manage the planning, coordination, and execution of a diverse range of events and conferences. The successful candidate will probably be in an account management type role or event ops role and be able to take the lead with client relationships. A key element of the role will be to manage the end-to-end delivery of the full suite of our event services, ensuring projects are delivered on time, to specification, and in line with agreed quality standards.

This is an office-based role with hybrid working being available once training has been completed.

Key Responsibilities

Client leadership and commercial development

· Lead and support client scoping and discovery calls, gathering requirements, recommending practical solutions in line with objectives.

· Translate agreed briefs into clear proposals, scopes of work, project plans and tailored costings.

· Build trusted, long-term client relationships as a principal point of contact.

· Manage and develop existing accounts.

Event planning and project control

· Own the end-to-end delivery of a range of conferences and events, from initial brief through to live delivery and post-event review.

· Develop and maintain detailed project plans covering milestones, responsibilities, risks, dependencies, approvals and contingency arrangements.

· Coordinate clients, venues, speakers, exhibitors, sponsors, delegates, suppliers and internal colleagues, ensuring responsibilities and deadlines are understood and met.

· Monitor budgets, maintain accurate financial records, protect agreed margins and escalate forecast variances promptly.

· Manage venue sourcing and liaison, including site visits, contracting support, space planning, room layouts, catering, accommodation, accessibility, delegate flow and supplier access.

Registration, technology and delegate experience

· Build and manage event registration platforms, particularly in EventsAir, including complex registration journeys, logic, payments, communications, reporting and data outputs.

· Oversee attendee management across registration, accommodation, special requirements, joining instructions, onsite check-in, badge production and post-event follow-up.

· Manage event websites, apps and digital tools, ensuring content is accurate, accessible, on brand and designed to improve delegate engagement and experience.

· Plan and prepare onsite technology and hardware, including laptops, kiosks, printers, scanners, networking and consumables; complete documented testing and readiness checks before deployment.

· Coordinate AV, production and technical partners ensuring responsibilities, technical requirements, rehearsals and contingency plans are agreed.

Live delivery, quality and improvement

· Lead onsite delivery, brief and coordinate event teams, manage registration and technology operations, monitor service standards and resolve issues calmly and decisively.

· Ensure speaker, abstract, exhibitor and sponsor requirements are managed accurately and that stakeholders receive timely, professional support.

· Apply company quality, information-security and event-control procedures; ensure plans, data handling, testing evidence and delivery records are complete and accurate.

· Identify, assess and manage event risks, maintaining proportionate contingency plans and escalating material concerns early.

· Analyse operational performance, produce clear post-event reports and practical recommendations.

About You

You will be an experienced proactive and highly organised events professional who thrives in a fast-paced environment and enjoys managing multiple projects simultaneously. You'll have experience of account management and be able to demonstrate exceptional customer service skills. You'll probably have worked with one of the main event tech platforms and if you've got hands on experience of using EventsAir then that would be an advantage.

Experience and skills:

Experience project manager of in-person conferences and events
Account management
Exceptional customer service in a B2B environment
Familiarity with EventsAir or other enterprise level event technology platform is an advantage but not essential.
Strong project management and organisational skills
Excellent communication skills and the ability to build strong client and supplier relationships
Proven time-management, multitasking, and attention-to-detail skills
