Full job description

Job Summary

Highborder Lodge is a residential dementia care home providing personal care to up to 40 residents. The service provides support to people requiring care and support, some of whom live with Dementia.

We are seeking a positive and highly organised Personal Assistant to support the Registered Manager with a wide range of administrative and clerical tasks in order to keep the Care Home running well.

This role is vital in ensuring smooth daily operations, managing schedules, coordinating communications, and handling various office responsibilities with professionalism and efficiency. The ideal candidate will demonstrate exceptional organisational skills, proficiency in office software, and excellent communication abilities to help the Registered Manager and the Leadership Team remain as focused as possible on high priority tasks.

The working hours for this role are Monday to Friday 9.30am - 4.30pm

Responsibilities

Manage and maintain Rotas, scheduling meetings, meeting preparation, and
Reception cover when needed which involved taking down accurate enquiry information, strong telephone manor and a professional approach on the front desk
Coordinate communication between departments, clients, vendors, and other stakeholders to facilitate seamless operations.
Support with HR activities across the home such as Recruitment, Induction and Return to Work Meetings
Managing Staff Training records and booking the relevant training when required
Minute Taking during meetings within the home
Assistance with Events that take place within the Home (Christmas, Open Days etc)

Experience

Proven administrative experience in an office setting, demonstrating strong organisational skills and strong attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Demonstrated ability to perform data entry accurately and efficiently while managing multiple priorities.
Excellent phone etiquette skills combined with clear and professional communication abilities.
Experience of working within a Care Home, or Care Environment would be advantageous
