We are looking for a highly organised, customer-focused and administration-confident Office & Customer Support Coordinator to join our Operations team.
The Role
This is a varied office coordination, customer support, and sales administration role. The role keeps essential business administration moving while ensuring customers receive a professional, responsive, and helpful experience.
The position suits someone who enjoys helping customers, is confident on the phone, takes pride in accurate administration, and can balance customer needs with business and colleague priorities.
This is not a sales, or project delivery role. The focus is accurate administration, clear communication, strong follow-through, and practical support for the smooth day-to-day running of the business.
What The Role Looks Like Day To Day
On a typical day, the Office & Customer Support Coordinator will manage the company inbox, respond to customer enquiries, add enquiries to CRM, support sales administration, book appointments, raise invoices, upload receipts to Xero, send fitting sheets and complete customer follow-ups.
- Keep the company inbox organised and ensure enquiries are actioned or allocated.
- Add new enquiries, customer information and follow-up actions into CRM accurately.
- Book measure and installation appointments, then send confirmations and fitting sheets.
- Raise customer invoices accurately and upload receipts/supporting documents to Xero ready for processing.
- Respond to customer queries with empathy, professionalism and appropriate escalation.
- Support colleagues by keeping customer, diary, invoice and administration information current.
Key Responsibilities
Customer Support & Communication
- Act as a key point of contact for customer enquiries by telephone and email.
- Deliver a warm, professional and responsive customer experience.
- Manage expectations when customers cannot be put straight through to colleagues.
- Show empathy when customers are under pressure or need to change arrangements.
- Record customer communications, agreed actions and escalations accurately.
Sales Administration & CRM
- Add enquiries and new opportunities into CRM accurately.
- Maintain customer records, enquiry details, notes and follow-up actions.
- Lead the sales administration process by keeping information organised and visible.
- Help ensure smooth handovers between Sales and Projects.
Appointment & Diary Coordination
- Book measure and installation appointments.
- Manage diary updates, confirmations and customer appointment information.
- Send fitting sheets and related documentation to fitters.
- Communicate schedule changes clearly and escalate diary conflicts promptly.
Invoicing & Xero Preparation
- Raise customer invoices accurately and promptly.
- Respond to customer invoice and payment queries professionally.
- Upload receipts and supporting documentation to Xero ready for review and processing.
- Keep invoice, receipt and customer administration records organised.
Office & Operational Support
- Support the smooth day-to-day running of the office through accurate administration.
- Coordinate courier collections and deliveries where required.
- Support White Label administration activities where required.
- Maintain organised records, files and supporting documents.
- Support management and colleagues with agreed administrative requirements.
Continuous Improvement
- Identify opportunities to improve customer service, CRM accuracy, enquiry handling and office administration.
- Suggest improvements to communication templates, follow-up processes and customer support standards.
- Contribute positively to team objectives and Operational Excellence initiatives.
Skills & Experience
Essential
- Previous experience in administration, customer service, customer support, sales administration or office coordination.
- Excellent telephone manner and confident written communication skills.
- Strong organisational skills and attention to detail.
- Ability to manage multiple customer queries and administrative priorities.
- Confidence using Microsoft Outlook, Excel, Teams and Office applications.
- Experience maintaining accurate records, inboxes, diaries or CRM systems.
- A proactive, helpful and solutions-focused mindset.
Desirable
- Experience using CRM systems such as Freshworks or similar.
- Experience raising invoices or supporting customer payment administration.
- Experience uploading receipts or supporting documents into Xero or similar accounting software.
- Experience coordinating appointments, diaries, fitting sheets or schedules.
- Experience within interiors, manufacturing, retail, hospitality, construction or service-based businesses.
