This is an exciting opportunity to join our practice team in a varied administrative role at the heart of patient care. We are seeking a motivated and reliable individual who can provide efficient, accurate and friendly administrative support to help ensure our patients and clinical teams receive the best possible service.

Main duties of the job

The role will involve working closely with the administration and reception teams, supporting a wide range of day-to-day tasks including patient registration, appointment booking, processing information, managing documentation and ensuring records are handled accurately and in line with practice policies.

The post holder will also play an important role in supporting communication between patients, clinical staff, multidisciplinary teams and external healthcare providers. This will include distributing messages and information, responding to enquiries and liaising with secondary care, community services and other partner organisations as required.

We are looking for someone with strong organisational skills, good attention to detail and a positive, flexible approach. The ability to work well under pressure, communicate clearly and contribute to a supportive team environment is essential.

Job descriptionJob responsibilities

The following are the core responsibilities of the Medical Administrator. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels -

Process patient registrations, deductions and amendments, ensuring patient records are accurate and up to date.

Monitor and process clinical correspondence, test results and workflow tasks in a timely manner.

Manage incoming and outgoing correspondence, including electronic and paper records.

Answering telephone enquiries and directing calls appropriately.

Supporting appointment booking and patient communications, including sending patient invitations and reminders.

Coding and inputting information into patient healthcare records.

Providing administrative support to clinicians and the wider practice team.

Liaising with patients, multidisciplinary teams and external healthcare organisations in a professional and friendly manner.

Maintain a clean, tidy, effective working area at all times.

Secondary Responsibilities

In addition to the primary responsibilities, the Administrator may be requested to:

a. Partake in audit as directed by the audit lead.

b. Support admin staff, providing cover during staff absences.

c. Book appointments.

d. Complete opening and closing procedures in accordance with the duty rota.

e. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels.
