We are now looking for an experienced and confident Reception Supervisor to help lead our front-of-house operation and deliver an exceptional guest experience.
Main Responsibilities
As Reception Supervisor, you will be key in the day-to-day running of the Front Office operation, ensuring guests receive a warm, professional and efficient welcome throughout their stay.
You will lead by example on shift, support and supervise the reception team, and ensure smooth communication across departments. This is a hands-on role suited to someone who thrives in hospitality, enjoys working with people, and can confidently manage busy periods while maintaining excellent service standards.
Main Job Duties and Responsibilities
- Supervise the day-to-day operation of Reception
- Deliver exceptional guest service from arrival through to departure
- Support and motivate the reception team during shifts
- Handle guest enquiries, requests and complaints professionally and efficiently
- Ensure smooth check-in and check-out procedures
- Maintain accurate guest records and payment processing
- Assist with room allocations and operational planning
- Liaise closely with Housekeeping, Food & Beverage and Bookings teams
- Support training and onboarding of reception team members
- Ensure company procedures and service standards are consistently followed
- Assist with reporting, administration and daily operational checks
- Act as a senior point of contact during shifts and support duty management responsibilities where required
- Ensure all reservations are taken in line with the SOP’s.
- Deal with all telephone and email enquiries in a prompt and professional manner.
- Ensure accuracy and attention to detail at all times.
- Be aware of seasonal and historical trends.
- Ensure maximum occupancy, average room rates and targets are achieved.
- Be fully conversant with all reservation procedures including cancellations and no-shows and adhere to these procedures at all times.
- Chase all unconfirmed bookings, ensuring they are confirmed or released in accordance with the Halls policy.
- Be fully aware of rates and promotions and to quote such rates in line with the our revenue strategy. Ensuring maximum occupancy are achieved at all times.
- Deal with all internal and external customers in a professional manner including answering all telephone calls promptly and correctly.
- Complete reservation checks as per Company standards
- Register and check guests in as well as authorizing and verifying guests’ payments.
- Confirm relevant guest information as well as issuing room keys and direct guests to their rooms.
- Maintain clear and accurate records of guest room bookings.
- Listen and respond to guest queries and requests both in-person and by phone.
- Attend any relevant training courses.
- Run the day-to-day operation of the reservations department.
- Be aware and have full knowledge of our competitors and their facilities
- Focus on outstanding customer service aiming to exceed our guest’s expectations, making each and every person feel special.
- Apply excellent attention to detail, maintaining effective controls and implementing the necessary systems and procedures for smooth running of the reservations department.
- Deal with guest enquiries.
- Assist in training staff members to a high standard.
- Complete daily tasks along with understanding all team members’ requirements and the daily traffic into the office.
- Assisting Reception Manager with daily reporting
- Process group bookings, rooming lists and group booking contracts.
What we’re looking for:
To be successful in this role, you must possess the following qualifications, attitude, behaviours, skills, and values:
- Essential:
- Previous experience in a hotel reception, front office or hospitality supervisory role
Desirable:
- Experience using Guestline or similar PMS systems
- Knowledge of hospitality operations within hotels or multi-site venues
- Experience supervising or training team members
- Strong customer service and communication skills
- Excellent organisational and multitasking abilities
- Professional, confident and calm under pressure
- Strong attention to detail
- Ability to lead and motivate a team
- Flexible approach to shifts, including weekends and evenings
- Good IT skills and confidence using hotel booking systems

- 5 days out of 7 on a rota basis
