Job Summary
We are seeking a highly organised and proactive Executive Assistant to support the Chief Executive Officer (CEO). This role involves managing a wide range of administrative duties, coordinating schedules, and ensuring smooth communication across departments. The ideal candidate will possess strong organisational skills, excellent communication abilities, and proficiency in various office software. This is an excellent opportunity for an individual looking to develop their career in a dynamic corporate environment.

Responsibilities

Manage and maintain the CEO’s calendar, scheduling appointments, meetings, and travel arrangements efficiently
Prepare and organise correspondence, reports, and presentations using Microsoft Office and Google Workspace
Handle incoming calls with professionalism, demonstrating excellent phone etiquette
Assist with data entry tasks and maintain accurate records software
Organise meetings, including preparing agendas, taking minutes, and following up on action items
Support general administrative functions such as filing, photocopying, and organising documents
Liaise with internal teams and external contacts to facilitate communication and coordination
Monitor deadlines and prioritise tasks to ensure timely completion of projects
Perform clerical duties including typing, document formatting, and maintaining office supplies
Oversea meetings and stand in during meetings
Oversee and implement various projects

Experience

Proven administrative experience supporting senior executives or in a similar role
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Experience with QuickBooks or similar accounting software is desirable
Strong organisational skills with the ability to multitask effectively in a fast-paced environment
Excellent data entry skills with high accuracy and attention to detail
Previous office experience demonstrating familiarity with clerical tasks and office procedures
Exceptional phone etiquette and professional communication skills
Typing speed of at least 60 words per minute is preferred
