About the role:
About the Role
The Project Coordinator exists to keep project information organised, accessible, and up to date so that the rest of the team can focus on delivery. This role sits within a fast-paced engineering environment and plays a vital part in keeping our PMO running smoothly.
This role suits someone at the start of their career looking to build a foundation in project management, or a retiree looking for a focused, meaningful role without the weight of senior responsibility.
A typical day could look like this:
- Project Housekeeping: Maintaining folder structures and documentation for 50+ active projects to ensure everything is accessible and audit ready.
- Data Reporting: Using Excel (pivot tables) to track KPIs and provide performance metrics for the PMO.
- Stakeholder Support: Assisting Project Leads by extracting data for high-level presentations and tracking smaller work packages using established templates.
- Deadline Coordination: Monitoring project timelines and proactively prompting team members to ensure milestones are met.
- Process Setup: Establishing the administrative foundations for new projects from initiation through to closure.
- Team Liaison: Acting as a central point of contact within a fast-paced engineering environment to keep information and documentation flowing.
Who we are looking for:
To succeed as a Project Coordinator, you will need to demonstrate the following:
- Organisational Discipline: A natural completer-finisher who takes pride in creating order and maintaining high documentation standards.
- Spreadsheet Proficiency: Confident working with Excel including pivot tables and basic data analysis.
- Proactive Mindset: Able to take initiative and work independently once given a clear objective.
- Clear Communication: Strong written and verbal skills to collaborate effectively with a diverse project team.
- Tool Familiarity: Experience with document management platforms such as SharePoint or Confluence.
- Project Lifecycle Awareness: A basic understanding of how projects move from initiation through to closure and what documentation is needed at each stage.
- Listening effectively: to understand what is required.
Nice to have:
- Experience with MS Project, Jira, or similar project management tools.
- Ability to build clean, data-driven slides for executive or stakeholder reviews.
- Previous administrative experience.
Education / Qualifications:
A degree, apprenticeship, or equivalent experience in Engineering, Science, Business Management, or Project Management. We value demonstrated ability and the right mindset over academic background alone.
We look for the five Cs from our colleagues:
- Customer Focused – Staying close to customer needs and consistently delivering value that builds trust.
- Caring – Creating a supportive environment where people look out for each other and can thrive.
- Collaborative – Sharing ideas openly, communicating clearly, and working together to solve problems.
- Commitment – Taking ownership, following through on promises, and acting with integrity.
- Continuous Improvement – Always learning, challenging the status quo, and improving how we work and deliver.
