The Gaiety Southsea, located on South Parade Pier, Portsmouth, is a premier events venue offering stunning sea views. It's an ideal spot to enjoy drinks, dining, and live entertainment. The venue hosts a variety of events, including live music performances, themed nights, boxing and private functions such as weddings and corporate events. These events happen both during the day and evenings.
This Role is Part-Time, 16 Hours per week, primarily over Friday/Saturday/Sunday
The Role
Reporting to the general manager, the event manager is integral to supporting achieving operational targets and leading staff to make the customer experience and venue efficiencies the very best they can be. Depending on the type & scale of event you’ll supervise shift leads and/or event staff ensuring that they complete their appropriate tasks and are motivated to work effectively whist being part of a wider team. Your skills will include contributing to the overall business strategy by knowing & understanding the business’s mission statement, values & goals. You’ll also act as a reference point for employees and customers, ready to problem solve when these situations arise. Ultimately, you’ll help maintain our business reputation by ensuring event duties are completed efficiently, effectively and positively for all stakeholders involved.
Responsibilities
- Ensure pre-event checks are satisfactorily completed & address any issues as & when they arise.
- Referring to Rota cloud, assign duties to employees and oversee their shift
- Manage event schedules, employee shifts, and breaks during shifts
- Set up of the till system, testing, managing floats and change during the shift, managing workflow to maximise revenue & dealing with ad hoc issues as & when they arise
- Cash handling and management
- Help recruit, train, integrate & support new team members
- Engage with employees offering encouragement, guidance and feedback when needed
- Ensure industry rules and regulations are followed, be a personal licence holder
- Handle customer complaints in a sympathetic manner whilst protecting the gaiety reputation.
- Understand any employee conflicts and resolve where possible maintaining confidentiality and non-bias where appropriate.
- Transfer stock and consumables to and from the kitchen, event floor & bar, when required
- Understand & execute the escalation procedures for issues including liaising with security as and when necessary.
- Understand and lead on the evacuation process in line with the fire safety protocol
- Close the event ensuring all post event checks are completed, stock, cash & equipment is secure & all team members have completed their tasks for that shift
- Clear outdoor areas, so they are clean of plastic, parasols, and cigarettes, ensure outdoor toilets are protected by Heras fencing when required.
- Provide feedback on shift & event generally at the next available management meeting.
- Ensure both venue and Pier are secure at the end of an event

- At least one year’s previous experience in a supervisory capacity be it supervisor, shift lead or similar
- Personal license holder, working towards or willingness to secure one once started
- Full understanding of industry safety standards
- Basic knowledge of basic software, such as Word and Excel
- Working well within a team
- Ability to multitask
- Leadership and conflict-management skills
- Previous use of till operating systems & booking software

Ensure suitable security is planned and communicated in advance
Deputise for the General Manager in their absence and ensure where needed rotas are planned.
