The Role
This is a key operational support role within the business, responsible for coordinating customer orders, procurement, supplier relationships and logistics to ensure the smooth day-to-day running of both BearTOOLS and Bear Safety.
Working as part of a job share arrangement, you will work closely with an existing team member to provide seamless support across operations, purchasing, customer enquiries and warehouse coordination. Strong organisation, communication and attention to detail are essential to ensure continuity of service and effective handovers between working days.
The successful candidate will play an important role in ensuring products are purchased, processed and delivered efficiently while providing excellent support to customers and internal teams.
Key Responsibilities
Operations & Procurement
- Manage the end-to-end processing of customer orders.
- Raise purchase orders and place orders with suppliers.
- Liaise with suppliers to monitor lead times and delivery schedules.
- Source products and obtain supplier quotations where required.
- Maintain strong working relationships with suppliers and warehouse partners.
- Monitor stock availability and communicate any supply issues proactively.
Order & Logistics Coordination
- Coordinate deliveries with suppliers, warehouse partners, fitters and couriers.
- Track customer orders from placement through to delivery.
- Ensure accurate and timely dispatch of customer orders.
- Resolve delivery issues and liaise with relevant parties to minimise disruption.
- Support fulfilment activities during busy periods.
Customer Support
- Act as a first point of contact for customer enquiries via telephone and email.
- Provide order updates and respond to customer queries.
- Prepare quotations and order confirmations where required.
- Build positive relationships with customers through professional and responsive communication.
- Escalate technical or commercial enquiries to the appropriate team members.
Administration
- Maintain accurate customer, supplier and order records.
- Ensure CRM and order management systems remain up to date.
- Assist with general office administration and documentation.
- Support continuous improvements to operational processes and procedures.
Skills & Experience
Essential
- Previous experience in operations, procurement, office administration, customer service or supply chain coordination.
- Experience working with suppliers and coordinating deliveries.
- Excellent organisational skills with the ability to manage multiple priorities.
- Strong communication skills and confidence dealing with customers and suppliers.
- Experience using Microsoft 365, particularly Outlook, Excel, Teams and Word.
- Experience using Xero, Hubspot and CRM or order management systems.
- A proactive approach with strong attention to detail.
Desirable
- Experience within a manufacturing, distribution, technical or industrial environment.
- Experience with purchasing or procurement activities.
- Experience supporting warehouse or logistics operations.

Pay: £27,000.00-£30,000.00 per year
