Hitchin Dental Care is looking for an enthusiastic, ambitious and patient-focused Dental Receptionist / Treatment Co-ordinator to join our growing team.
This is not a traditional reception role. Whilst excellent front-of-house and administrative skills are important, the primary focus of the position is helping patients move forward with treatment and ensuring that every enquiry receives exceptional follow-up.
We are seeking someone with previous dental reception and/or Treatment Co-ordinator experience who enjoys building relationships, communicating with patients, and helping people make confident decisions about their dental care.
You will play a key role in converting new patient enquiries into consultations, following up treatment recommendations, reactivating patients with outstanding treatment plans, and helping drive the continued growth of the practice.

Key Responsibilities
- Proactively follow up all new patient enquiries and leads through our CRM system, ensuring every enquiry is contacted promptly and professionally.
- Build strong relationships with prospective patients, helping them understand the benefits of treatment and guiding them towards booking consultations and appointments.
- Follow up patients after consultations to discuss treatment recommendations, answer questions, and help them move forward with treatment.
- Contact patients with outstanding or unbooked treatment plans, overcoming barriers and encouraging treatment acceptance.
- Manage patient journeys from initial enquiry through to treatment completion, ensuring an exceptional patient experience throughout.
- Present treatment plans and discuss finance options where appropriate.
- Utilise CRM systems effectively to track enquiries, consultations, treatment plans and conversion activity.
- Deliver a warm, professional and welcoming experience for all patients visiting or contacting the practice.
- Manage appointment bookings, recalls, diary optimisation and treatment scheduling.
- Handle telephone, email, website and social media enquiries promptly and professionally.
- Process payments and maintain accurate patient records.
- Work closely with clinicians to maximise treatment acceptance and patient satisfaction.
- Monitor and report on enquiry volumes, consultation bookings, treatment conversions and key performance indicators.
- Support the smooth day-to-day running of the practice through reception and administrative duties.
Requirements
- Previous experience as a Dental Receptionist and/or Treatment Co-ordinator within a private or mixed dental practice.
- Excellent communication and relationship-building skills.
- A confident and professional telephone manner.
- Strong organisational and multitasking abilities.
- Comfortable discussing treatment plans and helping patients make informed decisions.
- Experience using dental practice management software and CRM systems is desirable.
- A proactive, target-driven mindset with a genuine interest in patient conversion and practice growth.
- Ability to work independently whilst contributing positively to a team environment.
- A caring, professional and patient-centred approach.
