Overall purpose of the role:
The role encompasses two areas of activity/responsibility.
- To assist in proactively managing day to day service desk tasks delivering a consistent level of high completion from initial stage of job request through to the final stage of works.
- Assisting with the ongoing administration and co-ordination of our established compliance and accreditation processes such as:
- Health & Safety – BS OHSAS 18001: 2007.
- Environment - ISO 14001: 2015.
- Quality - ISO 9001: 2015.
- Security – ISO 27001 is on the horizon, so any experience within this area is desirable.
Objectives of the role:
This is a full-time role (40 hours per week). Core hours for the support team are 08:00 – 17:00 but flexibility is expected to meet the needs of the service.
Reporting to the Facilities & Service Desk Team Leader, the role responsibilities will be split between the 2 areas of responsibility as stated above. The aim is to deliver a dynamic role that provides flexibility, interest and variety whilst working as part of a friendly and professional team.
Carried out correctly the role will see us round out our service desk provision/support to clients whilst ensuring that the important administration and updating of our key business support processes and accreditations is kept up to date.
Duties would be varied and time managed to allow:
- Effectively communicating with all stakeholders via phone and email.
- Booking works onto our job management system
- Ensuring the correct paperwork is in place (such as RAMS, permits to work etc.)
- Liaising with engineers regarding jobs and equipment ordering.
- Ensuring clients and customers are kept informed on the progress of the works and manage their expectations in respect of timescales etc.
- Managing information to a high level – I.E. Updating and recording all the relevant details on our in-house database.
- Assisting with ordering and goods in, where required.
- Client contract management administration
- Administration and co-ordination of our established compliance and accreditation processes such as ISO standards, Safecontractor, Constructionline etc and the supporting detail/data such as training records and certifications.
- Work with our long standing specialist standards consultant to co-ordinate audits and update controlled documents
- Internal auditing and monitoring to ensure we are operating to the standards
Requirements of the role:
We believe this role would suit a professional person that has experience and enjoyment of compliance related duties as well as a desire to have a varied and interesting job role. The compliance aspect being planned and procedural whilst the service desk element provides variety through reactive and planned works – the combination of which provides a fulfilling and varied full time role.
The role requires you to have:
- Administrative experience including strong attention to detail, organisation, communication skills and working with word, excel, outlook etc.
- ‘Hands on’ experience in the management and administration of business processes and accreditations such as such as ISOs (as described) and affiliations such as Safecontractor and Constructionline
- Excellent customer service skills.
- The ability to multi-task with good logistical management and problem-solving skills.
- To work effectively and collaboratively as part of a small, friendly team
- An experience and knowledge of CLIK Service software would be advantageous.
