Event Coordinator – Events Team

Location: Office-based in Market Deeping, Lincolnshire, with travel to event sites across the UK.

About us: Warners Shows have been organising events in a variety of hobby and leisure markets since 1991. We pride ourselves on delivering high-quality, market-leading events throughout our portfolio.

We are seeking a highly organised Event Coordinator to plan and deliver a range of events. You will oversee all stages of event planning, ensuring each event runs smoothly from concept to completion.

In this role, you will join a dedicated operations team within the wider events department. While the position is primarily office-based during the planning stages, it also involves attending live events on site.

Responsibilities:

Provide administrative support across all stages of event planning and delivery
Maintain detailed event schedules and project timelines
Prepare and manage event documentation (including contracts, invoices, and reports)
Coordinate on-site event operations, including set-up, registration, and breakdown
Liaise with internal teams and external suppliers
Support the creation and distribution of event materials (briefing documents, etc.)
Ensure all compliance, health & safety, and organisational procedures are followed
Assist with post-event administration

Skills/qualifications:

Excellent interpersonal abilities and a team player
Ability to work under pressure and meet tight deadlines
Proficiency in Microsoft Office (Word, Excel, Outlook)
Flexibility to work evenings, weekends, and travel as needed depending on event schedules
Previous experience in an administrative or coordination role (events experience desirable)
High level of attention to detail and accuracy with strong problem solving and decision-making capabilities
Excellent written and verbal communication skills
Ability to manage multiple tasks and prioritise effectively
