Overview
4Youth (South West) is looking for an organised, proactive Admin and Centre Manager to ensure The Canberra Centre is a safe, compliant and welcoming environment for young people, staff, volunteers and community hirers. As part of the Senior Leadership Team, you will oversee building management, facilities compliance, HR administration, organisational systems and volunteer coordination. You will also support income generation through building hire, provide data for reports, and help maintain strong relationships with partners and contractors. This role includes one weekly on‑site visit minimum and requires training to Level 3 Deputy Safeguarding Lead.
Key Duties
Building Management & Compliance
- Oversee day‑to‑day management of The Canberra Centre, ensuring it is clean, safe and fit for purpose.
- Complete a weekly on‑site inspection and log maintenance, compliance and cleanliness issues.
- Organise and prioritise repairs, servicing and contractor work, ensuring value for money.
- Maintain accurate records of inspections, repairs, compliance checks and scheduled tasks.
- Ensure health and safety, fire safety and statutory requirements are met.
Building Hire, Income & Partnerships
- Manage relationships with hirers, local groups, schools and community partners.
- Support the Director to maximise occupancy and income from the building.
- Respond to enquiries, show prospective hirers around the building and support booking processes.
- Maintain accurate booking, occupancy and income records, process invoices and manage payments.
Leadership & Staff Management
- Recruit, induct and supervise the Cleaner and Caretaker.
- Provide regular supervision, probation reviews and performance management.
- Plan annual work schedules, including deep cleans and seasonal tasks.
- Support staff development and model positive communication and professional behaviour.
Volunteer Coordination
- Recruit, induct and support volunteers.
- Maintain volunteer records and ensure volunteers feel valued and supported.
- Coordinate volunteer responsibilities with the Senior Management Team.
Administration & HR Compliance
- Lead organisational file management, ensuring HR, safeguarding and operational records are accurate and GDPR‑compliant.
- Maintain DBS, training and HR compliance records for all staff and volunteers.
- Support governance, reporting and compliance tasks.
- Process payroll and expenses monthly on QuickBooks (training provided).
- Manage organisational correspondence and maintain clear digital and physical filing systems.
Communication & Social Media
- Lead social media and communications for non‑youth‑work activity, promoting building hire, partnerships, events and organisational achievements.
- Provide templates and guidance for staff and volunteers contributing to communications.
- Represent the organisation at meetings when the Director is unavailable.
Funding, Monitoring & Reporting
- Support building‑related grant applications, including drafting content and providing data.
- Provide accurate monitoring information for reports (occupancy, income, maintenance logs, compliance).
- Attend funder meetings when required.
Safeguarding
- Act as Deputy Safeguarding Lead (training provided).
- Support staff to identify, record and escalate concerns.
- Ensure safeguarding documentation is accurate and timely.
Skills & Experience - Essential
- Experience supporting or managing staff or volunteers.
- Experience in administration, facilities or a similar organisational role.
- Strong organisational skills with the ability to prioritise effectively.
- Confident using digital systems and maintaining accurate records.
- Clear, confident communication with staff, volunteers, hirers and partners.
- Able to problem‑solve, take initiative and work independently.
- Positive role model with a calm, supportive approach.
- Values‑driven, dependable and committed to high standards of safety and professionalism.
- Willingness to train as Level 3 Deputy Safeguarding Lead.
Skills & Experience - Desirable
- Experience managing buildings, facilities or contractors.
- Experience supporting HR or compliance processes.
- Experience managing bookings, hires or customer‑facing services.
- Experience using QuickBooks or similar systems.
- Experience managing social media or organisational communications.
- Ability to coordinate small projects or tidy‑day activities.
- First Aid, Health & Safety or Fire Safety training; Child Protection training.
- Management qualification.
- Driving licence and vehicle.
Pay: £17.00-£20.00 per hour
