About Us
Caledonia Waste Management Ltd is a growing waste management company providing reliable waste collections, bin services, and commercial waste solutions across Glasgow and surrounding areas.
We are looking for an organised, confident, and proactive Office Manager / Operations & Sales Coordinator to help run the day-to-day operations of the business while supporting customer service, scheduling, and sales growth.
This is a fast-paced role suited to someone who can think independently, stay organised under pressure, and communicate confidently with customers and staff.
Key Responsibilities:
Operations & Administration
- Answering incoming calls, emails, and WhatsApp enquiries
- Booking jobs into the company diary/system
- Scheduling drivers and waste collections
- Sending invoices and chasing outstanding payments
- Updating spreadsheets, CRM systems, and customer records
- Keeping clients updated on bookings and schedules
- Organising dump bookings and operational admin
- Helping keep daily operations running smoothly
Sales & Customer Service
- Following up website, Meta, and inbound enquiries
- Managing and progressing leads through the CRM
- Upselling recurring bin run services to customers
- Reaching out to new business opportunities
- Building strong relationships with commercial clients
- Supporting business growth and customer retention
Management & Organisation
- Helping build and improve company systems/processes
- Monitoring staff schedules and trackers
- Reporting operational issues to management
- Assisting with pricing and quotations
- Working independently and taking ownership of tasks
What We’re Looking For
- Strong organisational and communication skills
- Confident on phones and dealing with customers
- Ability to multitask in a fast-paced environment
- Experience in administration, logistics, scheduling, sales, or office management preferred
- Ability to think independently and solve problems
- Good computer skills and confidence using spreadsheets/CRM systems
- A proactive attitude and willingness to grow with the business
Bonus Experience
Experience in any of the following is beneficial:
