The role
We’re looking for a HR Administrator that will provide comprehensive administrative support to our HR function, working closely with the HR Lead & HR & Finance director to support the full employee lifecycle.
This role offers hands-on experience across recruitment, onboarding, and compliance while developing professional skills through the wealth of experience it can offer.
As the HR Admin, you will act as a first point of contact for routine HR support queries, handling sensitive information with professionalism, accuracy, and confidentiality, and supporting high‑quality service delivery across the organisation
You will be a key player in managing employee data and supporting the full employee lifecycle—from the moment someone applies to join us, through to their ongoing development and beyond.
This role will also manage our volunteering process for the organisation where it will support the wider team in vetting potential volunteers including completing the DBS’s that is required.
You will work as part of a fast paced, agile, creative organisation. You will be expected to drive and have access to a car. You may be expected to travel to other ICE offices from time to time.

Key elements of the day-to-day role:
The role will involve:
Recruitment & Onboarding
- Talent Acquisition: Assist in the recruitment process by prepping job descriptions for review from Line Managers to HR Lead and posting job advertisements.
- Candidate Management: Process received CVs, conduct telephone screenings, and provide feedback to candidates after interviews.
- Interview Coordination: Arrange interviews and send out necessary documentation, such as psychiatric tools and application forms.
- Onboarding & Induction: Help organise and manage new employee orientation, onboarding, and training programs.
- Vetting & Compliance: Support the DBS process by arranging checks for new starters & volunteers following up on documentation, and scheduling renewals.
Employee Lifecycle & Data Management
- Records Maintenance: Support in compiling and updating company personnel records and documentation to ensure accuracy.
- Systems Management: Manage and update the HR CRM with information regarding new hires, terminations, sick leave, annual leave, and general notes.
- References: Seek and provide employment references as required.
- Performance Tracking: Chase 1-2-1 meetings and appraisals, ensuring all associated paperwork is completed.
- Employee relations: Seek and provide employment references as required.
- Exit Coordination: Support the exit interview process, ensuring feedback is documented and working with Business Support to confirm the return of company equipment.
Policy, Training & Development
- Learning Coordination: Support in arranging internal, external, and online training packages for new starters and coordinate annual update training for the wider team.
- Policy Administration: Support in preparing, managing, and storing paperwork for HR policies and procedures.
- Handbook Maintenance: Assist in the drafting and annual review of the Employee Handbook to ensure it remains compliant with UK employment law with HR Lead.
General Administration
- Executive Support: Provide administrative support for the HR Lead and the HR & Finance Director.
- Office Coordination Support: Ensure office rota is kept up to date across the business and sending reminders to complete this.
- General Admin Support: Answering the door and office phone to represent ICE and well as supporting with any general admin tasks that may need to be completed across the business.
- Employee Relations: Working closely with the HR Lead to be a note taker for any employee relation meetings such as investigations, hearings, Wellbeing check in’s etc.
- Investigation: You may be required to conduct investigations across the business where a necessary case requires this. Training will be provided.
- Mentorship: Participate in regular 1-2-1 mentoring sessions with the HR Lead to discuss career progression and professional growth.
Operations & Governance
- Act at all times within the Company’s rules, policies, procedures, and financial regulations.
- Observe and comply with employees’ obligations under Health and Safety policy and law.

Essential existing skills/experience
· GCSE Maths & English
· Strong interpersonal and relationship-building skills
· Clear communicator.
· Can do attitude.
· Strong organisation skills and can use outlook calendar and other Microsoft tools to support this.
· Consistent and self-motivated; able to manage multiple priorities
· Resilient, proactive and comfortable with completing tasks on own where support is not needed.

· Level 3 CIPD Foundation Certificate (or willingness to work toward)
· Understanding employment law and keen to keep up with the recent changes.
