About the role
We are looking for a highly organised and proactive Administrative Assistant Executive in Finance to join our Finance and Operations team.
This role is central to the smooth running of the business, providing key administrative support to the finance function. You will be responsible for maintaining accurate records, supporting financial processes, coordinating communication, and ensuring the efficient day-to-day operation of the department.
You will work closely with the Office Manager and Finance team, gaining exposure to a wide range of financial administration activities. This is a varied and fast-paced role, ideal for someone who enjoys structure, accuracy, and responsibility.
Key responsibilities
- Provide administrative support to the finance team, including diary management, meeting coordination, and handling correspondence
- Assist in the preparation and formatting of financial documents, including reports, reconciliations, and supporting records
- Maintain accurate digital and physical filing systems, ensuring all financial documentation is securely stored and compliant with company policies
- Support accounts payable and receivable processes, including logging transactions, processing supplier payments, and liaising with suppliers
- Act as a key point of contact between finance and other departments, as well as external stakeholders
- Assist with budget monitoring, expense tracking, and preparation of financial summaries and reports
- Support compliance with financial regulations, internal controls, and GDPR requirements
- Manage shared finance inboxes and carry out general administrative duties such as data entry, document preparation, and minute-taking
Who we are looking for
- Strong administrative and organisational skills with excellent attention to detail
- Confident working with numbers, data, and spreadsheets
- Strong communication skills, both written and verbal
- Professional, reliable, and able to manage multiple tasks effectively
- Proficient in Microsoft Office (especially Excel, Word, and Outlook)
- Experience with financial systems (e.g. Sage, Xero, QuickBooks) is desirable but not essential
- Previous experience in an administrative or office support role is required; experience in finance or professional services is an advantage
Qualifications
- GCSEs (or equivalent) in English and Mathematics – Grade C/4 or above
- A business or finance-related qualification (e.g. AAT Level 2/3 or Business Administration NVQ) is desirable
