Membership Secretary (Full-Time)

Hours: Full-time (typically 40 hours per week, some flexibility required)

This position will be key to ensuring responsible, accurate and efficient administration of the Clubs membership processes, as part of a team dedicated to providing an exceptional environment for our members and guests.
Role Overview
Nairn Golf Club is seeking a highly organised, professional and personable Membership Secretary to oversee membership administration and provide comprehensive general administrative support to the Club.
This is a pivotal full-time role within the Club’s administrative function, acting as the primary point of contact for members and prospective members, while supporting the General Manager and wider team in ensuring the smooth and efficient running of club operations.
Key Responsibilities
Membership Administration
- Manage the full membership lifecycle — enquiries, applications, onboarding, inductions, category changes and resignations
- Maintain accurate and up-to-date member records using the Club’s management systems
- Administer waiting lists where applicable
- Prepare membership documentation and formal correspondence
- Coordinate subscription renewals and support retention initiatives
Communication & Member Engagement
- Act as the principal point of contact for membership enquiries (email, CRM, telephone and in person)
- Support member communications including newsletters, notices, and updates
- Assist in the coordination of member events and new member integration
- Liaise with committees and sub-groups as required
Financial & Subscription Coordination
- Work closely with the finance function regarding subscriptions, invoicing and payment monitoring
- Support accurate reporting of membership categories and subscription income
- Assist with preparation of membership data for budgeting and forecasting
Governance & Compliance
- Prepare membership reports for management and committee meetings
- Ensure compliance with GDPR and data protection requirements
- Maintain confidential handling of member and Club information
General Administration Duties
- Provide administrative support to the Assistant Manager and cover in the absence of the Bookings Secretary
- Manage incoming correspondence and general office communications
- Prepare meeting agendas, minutes and documentation as required
- Maintain office systems, filing and document control
- Support operational administration across the Club as needed
Person Specification
Essential
- Strong organisational skills and high attention to detail
- Excellent written and verbal communication skills
- Ability to manage confidential information with discretion
- Proficiency in Microsoft Office (Excel, Word, Outlook, Power Point) and graphic design platforms such as Canva.
Desirable
- Proven experience in administration, membership management or a similar customer-facing administrative role
- Experience working in a golf club, hospitality, or membership-based organisation
- Familiarity with club management and CRM software. (BRS & HubSpot)
- Experience supporting committees or preparing formal minutes
