Full job description

Job Purpose

This is an excellent opportunity to join IM Properties in a trusted executive support role, working closely with the Managing Director and Management Team. The role offers broad exposure across the business and the opportunity to make a meaningful contribution through first-class organisation, communication and professional support.

The Executive Assistant provides high-quality, confidential executive support to the Managing Director and wider Management Team. Reporting directly to the Managing Director, the role is responsible for ensuring that diaries, meetings, communications, administration and follow-up actions are managed efficiently and professionally.

The role requires strong organisation, discretion and judgement, with a clear focus on enabling the Management Team to operate effectively and remain focused on key business priorities.

Key Responsibilities
This role supports the Managing Director and Management Team across a broad range of executive assistant duties, including:

Acting as a professional first point of contact for internal and external stakeholders, handling communications appropriately.
Support the Managing Director and the Management Team in managing their various commitment, including appointments, travel and hospitality arrangements.
Coordinating meetings and events, including room bookings, technology requirements, papers, actions and follow-up items.
Preparing, proofreading and formatting correspondence, reports, presentations, agendas, board packs, management papers and meeting minutes.
Taking accurate minutes for board meetings, recording decisions, actions and follow-up points clearly and concisely.
Supporting the Management Team with administration, project coordination, trackers, deadlines and action logs.
Managing confidential information, filing systems and records with accuracy, discretion and appropriate sensitivity.
Supporting day-to-day company secretarial administration, including Companies House filings and maintaining statutory records where required.
Arranging travel, accommodation, couriers, incoming and outgoing post and other day-to-day office support tasks.
Ordering monthly stationery and general office supplies.
Managing SharePoint access and administration for internal stakeholders.
Providing flexible ad hoc support to the Managing Director and Management Team as priorities change.
Handling expense and mileage claims for the Managing Director and Finance Director.

Knowledge, Skills and Experience

Experience in an executive assistant, personal assistant, senior administration or business support role.
Strong diary management, meeting coordination, minute-taking and administrative support skills.
Confident preparing and formatting correspondence, reports, presentations, agendas and meeting papers.
Experience supporting board administration, company secretarial processes or routine Companies House filings would be advantageous.
Strong Microsoft Office skills, particularly Outlook, Word and PowerPoint.
