About the role
We have an exciting opportunity for an organised and proactive Admin Assistant to join our UKCS Scotland team, based at our Forres Academy project in Forres.
In this role, you will provide a comprehensive range of administrative support to the project team, ensuring the smooth and efficient running of day-to-day operations. You will play a key role in supporting project delivery by managing documentation, coordinating activities, and maintaining effective communication across the team.
This is a fantastic opportunity for someone who thrives in a fast-paced environment and takes pride in delivering high-quality administrative support.
What you'll be doing
- Providing a full range of administrative support including typing, scanning, photocopying and document preparation
- Producing spreadsheets, reports and presentations using Microsoft Office
- Supporting the preparation of monthly project reports and general reporting requirements
- Uploading and managing project documentation across internal systems such as SharePoint
- Managing diaries and coordinating schedules to optimise team productivity
- Organising meetings and conferences, including minute taking and booking facilities
- Managing meeting rooms and hot desk bookings
- Maintaining accurate and secure filing systems, both electronic and paper-based, including archiving
- Supporting confidential project activities as required
- Promoting a strong focus on safety, sustainability and company values in all activities
Who we're looking for
- Previous experience in an administrative or support role
- Highly organised with a proactive and adaptable approach to work
- Strong communication skills with the ability to build effective working relationships
- A reliable team player who can also work independently when required
- Ability to manage multiple tasks and work to tight deadlines
- Strong customer focus and attention to detail
- Confident using IT systems including Microsoft Office (Excel, Word, PowerPoint) and SharePoint
