About The Dental Wellness Centre

The Dental Wellness Centre was established in 2021 in Leicester and expanded to Coalville in 2024. Since taking over both practices, we have grown our teams, surgeries, and service offering, delivering care across general and paediatric dentistry, IV sedation, dental implants, Invisalign and cosmetic dentistry and endodontics.

We are passionate about providing high-quality dentistry using modern technology, supported by strong systems and an exceptional patient journey. Supporting anxious patients and helping them feel calm, informed, and cared for is central to our ethos.

The Role

We are seeking an organised, proactive Assistant Practice Manager to support the Practice Manager in the smooth day-to-day running of our practices.

This is a hands-on operational leadership role where you will act as an anchor for people, systems, compliance, and administration. You will lead by example, support staff, and resolve issues quickly to protect both patient care and business performance.

The role is split across our Leicester and Coalville sites, with part-week working at each location. The ability to travel between sites is essential, and ideally candidates will own a car.

Mission

To support the Practice Manager in daily operations while leading by example, ensuring smooth workflows, strong team coordination, and consistently high standards of patient care.

Key Outcomes (What Success Looks Like)

Daily operations run smoothly, including in the absence of the Practice Manager
Front-of-house and admin teams perform consistently to agreed standards
Reduced operational errors, diary issues, and workflow disruptions
Patient queries and issues handled promptly and professionally
Strong, clear internal communication across all teams

Key Responsibilities

Recruitment & Onboarding

Support recruitment including application screening and first-stage interviews
Coordinate onboarding, inductions, pre-employment checks, uniforms, and system access
Arrange mandatory training and maintain accurate training records

HR Administration & Staff Management

Maintain accurate HR files and staff records
Manage rotas, annual leave, sickness, and cover arrangements
Monitor attendance, lateness, and staffing levels, adjusting rotas as required
Support staff with scheduling issues, concerns, and day-to-day problem-solving
Take minutes for meetings, reviews, 1–1s, and formal HR processes

Pay & Financial Support

Monitor UDA activity and assist with associate pay data
Process timesheets and provide accurate payroll information
Support invoice reconciliation and staff bonus reporting

Compliance & Governance

Ensure completion of weekly compliance and fire safety checks
Support CQC compliance, audits, and document control
Monitor and report on key operational datasets and outstanding claims

Operations & Facilities

Coordinate repairs, maintenance, and external contractors
Liaise with IT providers to resolve systems issues
Support operational continuity during staff shortages or disruptions

Patient & Practice Support

Handle patient complaints and feedback in line with policy
Maintain strict confidentiality at all times
