Overview
The Fleet & Facilities Manager is responsible for the effective management, compliance, maintenance, utilisation, and performance of a fleet of approximately 80 HGVs and associated trailers operating across general haulage and pallet network services. The role also covers the management of site maintenance at Thurnscoe. The role ensures maximum vehicle availability, legal compliance, cost control, and operational efficiency while maintaining the highest standards of safety and customer service.
Key Responsibilities
Fleet Operations & Asset Management
- Manage the day-to-day operation of the vehicle and trailer fleet.
- Ensure optimum fleet utilisation to support general haulage and pallet network operations.
- Monitor vehicle availability and coordinate maintenance schedules to minimise downtime.
- Oversee vehicle replacement programmes and fleet renewal planning.
- Manage vehicle specifications, procurement, disposal, and supplier relationships.
- Maintain accurate fleet records and asset registers.
- Site Maintenance
Compliance & Legal Responsibilities
- Ensure full compliance with Operator Licence obligations and all relevant transport legislation.
- Manage vehicle maintenance systems in line with DVSA requirements.
- Ensure all inspections, servicing, MOTs, safety inspections, and repairs are completed within required timescales.
- Monitor defect reporting systems and ensure defects are rectified promptly.
- Support Transport Managers in maintaining OCRS performance and audit readiness.
- Ensure compliance with Working Time Directive, Driver CPC, and roadworthiness standards where applicable.
Workshop & Maintenance Management
- Manage in-house workshop operations and/or external maintenance providers.
- Develop preventative maintenance programmes.
- Monitor maintenance quality standards and repair turnaround times.
- Control workshop productivity and efficiency.
- Ensure adequate stock control of parts and consumables.
- Review and authorise repair costs and maintenance expenditure.
Cost Control & Budget Management
- Develop and manage fleet maintenance budgets.
- Monitor fuel performance and identify opportunities for efficiency improvements.
- Control tyre expenditure and tyre management programmes.
- Analyse fleet operating costs and implement cost reduction initiatives.
- Negotiate contracts with suppliers, maintenance providers, tyre companies, and fuel suppliers.
Vehicle Performance
- Work closely with Transport and Operational teams to improve vehicle utilisation.
- Monitor fleet KPIs including:
- Vehicle availability
- Fleet utilisation
- Maintenance compliance
- Fuel performance
- Breakdown frequency
- MOT pass rates
- Defect trends
- Accident and damage costs
- Support driver engagement programmes relating to vehicle care and defect reporting.
- Investigate recurring vehicle issues and implement corrective actions.
Health, Safety & Environmental Management
- Promote a strong safety culture throughout the fleet operation.
- Ensure compliance with company health and safety procedures.
- Manage accident investigations involving fleet assets.
- Support environmental initiatives including emissions reduction and fuel efficiency programmes.
- Ensure workshop operations comply with environmental and safety regulations.
Supplier & Contractor Management
- Manage relationships with:
- Vehicle manufacturers
- Trailer suppliers
- Maintenance providers
- Breakdown services
- Tyre suppliers
- Fuel providers
- Leasing companies
- Monitor supplier performance against agreed service levels.
- Negotiate commercial agreements to achieve best value.

Skills & Experience
Essential
- Proven fleet management experience within a UK haulage operation.
- Strong knowledge of HGV fleet maintenance and compliance requirements.
- Understanding of DVSA regulations and Operator Licence obligations.
- Experience managing fleets of 50+ vehicles.
- Strong commercial and budget management skills.
- Experience managing workshop operations and maintenance providers.
- Excellent leadership and communication skills.
- Competent IT skills including fleet management systems and Microsoft Office.
Desirable
- CPC National Road Haulage qualification.
- Experience managing mixed fleets including articulated and rigid vehicles.
- Knowledge of fleet telematics and vehicle performance systems.
- IOSH or NEBOSH qualification.
