We are looking for a highly organised, accurate, and reliable Bookkeeper and General Administrator to support the smooth running of our busy renewable energy business.
This is a varied role covering day-to-day bookkeeping, general office administration, customer and supplier records, invoicing, payments, and management support. The successful candidate must have excellent experience using either Xero or QuickBooks and be confident working with financial information in a professional business environment.
The role would suit someone practical, methodical, trustworthy, and comfortable working as part of a small, busy team where accuracy, communication, and ownership matter.
Key Responsibilities
Bookkeeping and Finance Administration
- Maintain accurate bookkeeping records using Xero or QuickBooks
- Raise and issue customer invoices
- Process supplier invoices, purchase invoices, and expenses
- Reconcile bank transactions, credit cards, and supplier statements
- Maintain purchase and sales ledgers
- Monitor customer payments and assist with credit control
- Prepare payment runs for approval
- Support VAT return preparation
- Assist with payroll administration where required
- Produce basic financial reports for Directors and management
- Liaise with accountants, suppliers, and customers as required
- Keep financial records accurate, complete, and up to date
- Support month-end and year-end finance processes
General Administration
- Provide day-to-day administrative support to the Directors and wider team
- Answer telephone calls and respond to emails professionally
- Maintain customer, supplier, and project records
- Manage subcontractor payments through the Construction Industry Scheme.
- Support the administration of renewable energy projects from enquiry through to completion
- Help prepare documents, letters, forms, reports, and customer paperwork
- Maintain digital and paper filing systems
- Support company compliance, accreditation, and audit record-keeping where required
- Assist with diary management, appointments, and internal coordination
- Help improve office systems, processes, and administrative efficiency
- Carry out other reasonable administrative duties as required
Essential Skills and Experience
- Proven experience in bookkeeping and general administration
- Excellent working knowledge of Xero or QuickBooks
- Strong numerical accuracy and attention to detail
- Good understanding of invoicing, reconciliations, supplier payments, ledgers, and VAT processes
- Confident using Microsoft Office, especially Excel.
- Strong organisational and time-management skills
- Ability to prioritise workload in a busy office environment
- Clear written and verbal communication skills
- Professional, discreet, and trustworthy approach
- Ability to work independently and as part of a team
- Comfortable handling confidential financial and business information
Desirable Skills
- Experience working in a small or family-run business
- Experience in the renewables, construction, electrical, plumbing, heating, or home-improvement sector
- Payroll administration experience
- AAT, bookkeeping, or accounting qualification
- Experience working with external accountants
- Familiarity with CRM, job management, or project administration systems
- Experience supporting compliance or accreditation paperwork
