The Role
We are looking for an experienced, reliable, and detail-oriented Office & Finance Administrator to join our team. This is a busy, office-based role at the heart of our business. The right candidate will be confident managing day-to-day office operations and handling bookkeeping tasks to a high standard, with the ability to juggle multiple responsibilities in a fast-paced environment.
Key Responsibilities
Office Administration & Client Services
- Answering inbound calls and handling customer enquiries professionally and efficiently
- Welcoming clients and visitors to the office
- Managing emails, correspondence, and general office administration
- Creating and maintaining customer files, contract folders, and associated documentation
- Booking meetings, site surveys, and appointments for the director and wider team
- Liaising with clients, suppliers, and managers on a daily basis
- Monitoring and resolving customer issues relating to contracts and service delivery
- Updating Capsule CRM, Jobber, and other internal systems (full training provided)
Bookkeeping & Finance
- Raising and sending client invoices in a timely manner
- Chasing outstanding payments and managing accounts receivable
- Processing supplier invoices and managing accounts payable
- Using Xero accounting software for day-to-day bookkeeping tasks
- Assisting with payroll preparation
- Supporting the Finance & HR Manager with financial administration
Operational Support
- Creating and managing rotas for our gardening teams
- Placing supply orders and managing stock as needed
- Preparing quotes and proposals for maintenance clients
- Coordinating schedules to ensure consistent, high-quality service delivery
What We’re Looking For
Essential
- Proven office administration experience in a busy environment
- Solid bookkeeping experience — invoicing, payment chasing, accounts payable and receivable
- Proficiency in Xero accounting software (this is a core requirement)
- Excellent customer service skills, including the ability to handle complaints professionally
- Strong attention to detail and high level of accuracy
- Excellent time management and ability to prioritise a varied workload
- Confident communicator — in person, by phone, and in writing
- Computer literate with good working knowledge of Microsoft Word, Excel, and Outlook
- Comfortable working across multiple systems and software platforms
- Able to work independently and use initiative
Desirable
- Experience managing business social media accounts (Instagram, Facebook)
- Background in a service-based, trades, or landscaping business
- Experience with CRM or job management software (e.g. Capsule, Jobber)
- Familiarity with rota or scheduling management
