Job Title: Part-Time Pub Administrator & Bookkeeper
Location: Hybrid – On-site near Richmond and Bedale & Work From Home
Hours: Estimated 8 hours per week (Flexible scheduling)
Pay: £15-£16 per hour
Position Overview
We are looking for an organized, detail-oriented Administrator & Bookkeeper to join our team on a permanent, part-time basis.
This is a hybrid role. Initially, all work will be completed entirely on-site to get you up to speed with our systems, properties, and paperwork. Once a working relationship is established, PC-based work can be completed from home. However, ongoing on-site work is a requirement to ensure physical paperwork is managed.
The standard monthly routine will balance out to roughly:
- 2 days per month: Working from home (PC/digital tasks)
- 2 days per month: Working on-site (1 day spent at each of our two pubs) scheduled to align directly with our monthly stocktakes.
Given the low hours and flexible schedule, this position would perfectly suit someone who is retired or semi-retired looking for a consistent local role, or anyone seeking a stable, flexible part-time position close to home.
Key Responsibilities
- Xero Management: Take ownership of data entry and bank reconciliations using Xero to keep management accounts accurate and up to date.
- Invoicing & Supplier Payments: Process incoming supplier invoices, cross-reference them with physical delivery notes, and prepare payment runs.
- EPOS & Cash Reconciliation: Reconcile weekly cash takings, card transactions, and safe balances against our EPOS system reports.
- Stocktake Alignment: Work on-site alongside our monthly stocktakes to reconcile stock valuation reports against invoices and Xero records, ensuring absolute accuracy.
- Payroll Processing: Collate and process weekly/monthly payroll, including checking staff hours against our rota software.
- Professional Liaison: Work directly with our external accountant and stocktaker, supplying requested data and resolving discrepancies.
- General Office Admin: Maintain organized on-site filing systems and assist the Multi-Site GM with basic paperwork queries.
Requirements
- Essential: Proven experience managing accounting systems (ideally Xero), running payroll, and handling general business administration.
- Essential: A strong understanding of cash management, EPOS systems, and financial reconciliation.
- Essential: Excellent knowledge of MS office including outlook and excel.
- Highly Desirable: Prior experience working within the licensed trade (pubs, bars, or restaurants) and a clear understanding of how stock reports work.
- A methodical, highly organized approach to paperwork and deadlines.
- Reliable, trustworthy, and able to commit to the specific monthly on-site dates required for stocktake alignment.
