Overview:
We are a long-established chartered accountancy practice and have a varied client base situated throughout Scotland and further afield. We currently have a vacancy for an Admin Assistant/Receptionist to join our administration support team, based at our office in Paisley.
The role offers a varied range of administrative tasks and office reception activities, alongside dedicated PA-style support to the director group, providing an excellent opportunity for individuals seeking to enhance their administrative skill set within a professional setting. The successful candidate will be proactive, reliable, and eager to contribute to the organisation’s success.
Key Responsibilities:
- Delivery of the highest standard of service to those who call the practice / visit our office
- Primary responsibility for the reception switchboard and transfer of calls to colleagues
- Maintaining a tidy, well-presented reception and meeting areas
- Working as an integral part of our admin support team to provide dedicated administrative support to the director group, including audio typing of emails/letters on behalf of directors, assisting with organisation of meetings and monitoring the practice general email inbox
- Processing and issuing fees on behalf of fee-earning staff
- Accepting payments from clients by phone in a professional and secure manner
- Opening and scanning incoming mail and handling outgoing mail
- Digital filing, archiving, scanning and maintenance of client records
- Supporting the wider team as part of the office administration function
- Any other ad-hoc administrative duties
What we are looking for:

- Have experience in a similar role or good school/college grades with a preference for Business Studies / Administration
- Have an ability to work in a responsible position within a professional office.
- Have excellent communication skills and a professional telephone manner
- Be an effective team worker who supports others and uses initiative
- Be able to prioritise workload, work to deadlines and maintain accuracy throughout
- Pay attention to detail
- Have strong IT skills (including Microsoft Office) and a willingness to learn new systems / technologies
- Show willingness and adaptability to complete a variety of tasks
- Be responsible and see tasks through to completion
- Be punctual, reliable and show care when dealing with client records
