Job Title: Property Manager / Personal Assistant

Location: Hemel Hempstead, HP2 7DL

Employment Type: Full-time

Role Overview

We are seeking a highly organised and proactive Property Manager / Personal Assistant to oversee the day-to-day management of a private property portfolio. This role combines hands-on property management with administrative and financial support, ensuring assets are well-maintained, tenants are managed effectively, and accurate records are kept at all times.

You will act as the central point of coordination between tenants, contractors, and ownership, ensuring smooth operations and high service standards across the portfolio.

Key ResponsibilitiesProperty Management

Manage a portfolio of residential and/or commercial properties on behalf of the owner
Act as the primary point of contact for tenants, handling queries, issues, and communications
Conduct regular property inspections and ensure properties are maintained to a high standard
Coordinate tenant move-ins, move-outs, and tenancy renewals
Ensure compliance with relevant UK property legislation and safety regulations [bluearrow.co.uk]

Rent Collection & Financial Management

Monitor and enforce timely rent collection from tenants
Chase arrears and manage overdue accounts in a professional and structured manner
Maintain accurate financial records including rent schedules, expenditures, and budgets [blog.voceer.com]
Prepare periodic reports on income, costs, and property performance

Repairs & Maintenance

Respond to maintenance issues and arrange both reactive and planned repairs
Liaise with contractors, tradespeople, and service providers
Obtain quotes, manage budgets, and oversee works through to completion
Ensure preventative maintenance schedules are implemented
Maintain a trusted network of reliable contractors [bluearrow.co.uk]

Administrative & PA Duties

Maintain and update spreadsheets tracking:
Property costs
Maintenance works
Contractor invoices
Rental income and expenses
Manage calendars, appointments, and property-related documentation
Organise and maintain digital and physical records
Assist with general business and personal administrative tasks as required
Prepare reports and summaries for the property owner

Operational & Compliance Duties

Ensure all landlord obligations are met (e.g. gas safety, EPCs, compliance checks)
Assist with insurance matters and claims
Support budgeting, forecasting, and cost control across the portfolio
Maintain strong relationships with tenants to support retention and satisfaction [pearrecruitment.com]

Skills & Experience Required

Previous experience in property management, lettings, or facilities management
Strong organisational and administrative skills
Excellent communication and tenant management ability
Competent in Excel / spreadsheets and basic financial tracking
Ability to manage multiple priorities and work independently
Knowledge of UK property legislation (preferred)
Problem-solving mindset with a proactive approach

Desirable (but not essential)

Experience managing multiple properties or a portfolio
Existing contacts with contractors/trades
Driving licence
Familiarity with property management software

Personal Attributes

Professional, reliable, and detail-oriented
Strong commercial awareness (cost control, value for money)
Calm under pressure and able to handle urgent repair issues
