INITIAL JOB SPECIFICATION

Part time Administrator for Surveying and Agency Departments

Based from our Hamstreet office, nr Ashford, Kent.

Angela Hirst Surveyors and Valuers Ltd offer Residential Sales and Lettings, Rural and Commercial Surveying, Commercial Sales and Commercial & Residential Property Management through the divisions: Angela Hirst Chartered Surveyors and Hirst Commercial.

The hours are three days a week from 9.00am to 5.30pm with half an hour for lunch on Monday, Tuesday and Wednesday.

Pro rata of annual allowance, 20 days plus bank holidays. Holiday year from 1st February to 31st January yearly

Remuneration will be by salary, deductions will be taken and salary paid monthly in arrears directly into a bank account. Salary is based on the national living wage on three day a week employment £15,862.08 per annum.

This role will require occasionally require business travel. Use of your privately owned vehicle maybe required and private vehicle will require the correct business use insurance.

Remuneration against business mileage will be paid monthly. We would require the vehicle to be in good condition with monthly car inspection forms completed.

Smart professional blouse / shirt with business suit. If female, skirt no shorter than the knee.

Reasonable expenses may be reclaimed from petty cash with receipts.

Offices provide: air conditioning, toilet and kitchen facilities including provision for hot and cold drinks.

Officei is of a simple nature and risks are low. Fire procedures are displayed in the office.

Rest room has first aid kits, which are regularly checked to ensure completeness. You must ensure that the Health & Safety Policy, Lone Worker, Driver and Out Person policies are made familiar to yourself where required.

Working directly for the company Directors and dealing with the following key areas:

· To answer the telephone and deal with enquiries, passing messages to others, where required.

· Responsibility for commercial and sales agency enquiries, assisting with client contact, updating files and records.

· Assisting in negotiations for commercial and residential sales and lettings where directed

· To assist surveyors as required.

· Meet and assist with general publics enquires when they enter the office.

· To produce audio typed documents for surveyors, using Microsoft Word and Rent programme.

· To produce audio typed Records of Conditions for Residential lettings department, on occasions.

· Inputting data to Expert Agent and Rents management computer based systems

· Assist in researching comparable evidence and assisting to compile formal valuation reports.

· Attend viewings of properties. (as required)

· On overlap day with the assistant to the directors, assist the maintenance team in co-ordinating maintenance with contractors and tenants

· Production of Company invoices

· Acting as the Responsible Person supporting the Health and Safety Representative

· In addition to the duties listed which this job normally entails, the Employee may from time to time, be required to undertake such additional duties as are necessary to meet the needs of the Employer’s business

Training

In House training will be given on specific computer programme’s but typing and computer skills are essential for this role.

Probation period

Six months.
