Job Overview
We are seeking to recruit two or three professional and organised Clinic Receptionists to join our private healthcare practice. The successful candidate will be the first point of contact for patients, providing exceptional customer service and ensuring smooth daily operations. This role offers an excellent opportunity for individuals with office and administrative experience to contribute to a welcoming and efficient clinical environment. The position is paid and requires a friendly, detail-oriented approach to managing patient interactions and administrative tasks.
You will also support the clinical staff with requests, for example, escorting patients to a different area of the clinic.
The Aceso Group uses a concierge model across all of it's brands. The receptionist will invite all patients to take tea, coffee or a beverage of their choice whilst waiting. Patients should be seen five minutes of arrival with any delay discussed with the clinician before the patient.
Responsibilities
- Greet patients warmly upon arrival and ensure they are comfortable while waiting
- Manage appointment scheduling, cancellations, and rescheduling using the clinic’s booking system
- Answer phone calls promptly, directing inquiries appropriately and providing information as needed
- Handle patient check-in and check-out processes efficiently
- Maintain accurate patient records and update information in the clinical system
- Process payments and insurance documentation accurately and securely
- Coordinate with medical staff to facilitate smooth clinic operations
- Ensure the reception area remains tidy, welcoming, and well-stocked with necessary materials
- Assist with administrative duties such as filing, data entry, and correspondence as required
Skills
- Proven office experience, with a strong organisational ability
- Previous administrative experience is highly desirable
- Excellent communication skills, both written and verbal
- Proficiency in using office software such as MS Office (Word, Excel) and booking systems
- Friendly demeanour with a professional attitude towards patients and colleagues
- Ability to multitask efficiently in a fast-paced environment
- Attention to detail and high levels of accuracy in record keeping
- A second spoken and written language will be highly advantageous
This role is ideal for motivated individuals seeking a rewarding position within a private healthcare setting. The successful candidate will play a vital part in delivering outstanding patient care through effective administration and reception management.
Experience in a private practice is preferred, although you may also come from a front of house position in a 4/5* hotel, a city organisation, the airline industry or luxury goods retail.
We are looking for two or three part time post holders working between 15 to 25 hours each.
Working hours will be 8.30am to 1.30pm then 1.00pm to 6.30pm with some overlap and handover.
