Job Title: Receptionist

Job Summary:

We are seeking a highly organized and personable individual to join our team as a Receptionist. As the first point of contact for our organization, you will play a crucial role in providing exceptional customer service and creating a positive and welcoming atmosphere for visitors and staff. Your primary responsibilities will include greeting and assisting visitors, collecting membership and/or other fees, managing incoming calls, emails and messages, coordinating appointments, and performing various administrative tasks. The ideal candidate should possess excellent communication skills, a friendly demeanour, and the ability to multitask effectively.

Responsibilities:

1. Greet and welcome visitors with a friendly and professional attitude, ensuring a positive first impression of the organization.

2. Answer incoming phone calls, emails, messages, and daily notifications promptly and courteously, directing them to the appropriate individuals or departments.

3. Provide accurate information to callers and visitors, addressing their inquiries or directing them to the appropriate resources.

4. Maintain a clean and organized reception area, ensuring a welcoming environment at all times.

5. Manage the scheduling of appointments and meetings, coordinating with staff members to ensure availability and smooth operations.

6. Receive and distribute incoming mail and packages, ensuring timely and accurate delivery to the intended recipients.

7. Collecting membership and/or other fees owed to the organisation and chasing payments from outstanding debtors.

8. Maintain visitor logs, sign-in sheets, and security procedures to ensure compliance with company policies.

9. Assist with various administrative tasks, such as data entry, filing, and photocopying, to support the smooth functioning of the office.

10. Collaborate with team members to ensure effective communication and coordination of office activities.

11. Handle confidential and sensitive information with discretion and maintain strict confidentiality protocols.

12. Stay up to date with organizational announcements, events, and changes to effectively respond to inquiries and provide accurate information.

13. Ensure the registration system is up to date and is cross correlated with coaches registers on a dialy basis.

Requirements:

1. High school diploma or equivalent; additional certification in office administration is a plus.

2. Proven experience as a receptionist, front desk representative, or in a similar customer service role is preferred.

3. Exceptional interpersonal skills with a friendly and approachable demeanor.

4. Strong verbal and written communication skills, with the ability to effectively communicate with individuals at all levels.

5. Excellent organizational and multitasking abilities, with a keen attention to detail.

6. Proficiency in using office equipment, such as a multi-line phone system, fax machine, and photocopier.

7. Familiarity with basic computer applications (e.g., Microsoft Office suite) and the ability to quickly learn new software programs.

8. Professional appearance and a polished, customer-oriented attitude.

9. Ability to handle stressful situations calmly and prioritize tasks effectively.

10. Strong problem-solving skills and the ability to exercise sound judgment.

11. Flexibility to work occasional evenings or weekends, if required.

12. Ability to work independently using own initiative to problem solve as required.
