Experienced Dental Receptionist

Salary: £30,000 - £34,000 per annum, depending on experience

Working Hours
Monday: 8:45am – 6:00pm
Tuesday: 8:30am – 5:30pm
Wednesday: 8:30am – 5:15pm
Thursday: 8:30am – 5:30pm
Friday: 8:30am – 5:30pm
These are the contracted hours for the role. However, due to the way our clinical diaries are structured, it is often possible to finish earlier, usually around 5:00pm/5:15pm. Provided all daily responsibilities have been completed and reception duties are concluded, we are happy for team members to leave earlier when operationally appropriate.
No regular weekend work is required. On rare occasions, cover may be requested for a Saturday clinic, but advance notice would always be provided. This is unlikely, as we have a dedicated weekend team.

As our practice continues to grow, we are looking for an experienced Dental Receptionist to become an integral part of our front-of-house team.
The Opportunity
This is far more than a traditional reception role.
We are looking for an experienced Dental Receptionist who genuinely enjoys working with people and takes pride in creating an exceptional patient experience from the moment a patient contacts the practice.
You will be the welcoming face of our Harley Street practice, building strong relationships with patients while ensuring the smooth day-to-day running of the reception and administrative functions. Alongside traditional reception responsibilities, you will play an important role in supporting our clinicians through treatment coordination, reporting and practice administration.
We are looking for someone who brings warmth, positivity and professionalism to every interaction, whilst maintaining excellent organisational skills behind the scenes.

Key Responsibilities
- Providing a warm, professional and friendly welcome to patients both in person and over the phone
- Managing appointment scheduling and diary coordination for multiple clinicians
- Managing the practice email inbox and responding promptly and professionally to enquiries
- Preparing, formatting and distributing treatment reports to patients and referring practitioners
- Sending treatment reports and treatment plans for electronic signature and monitoring completion
- Coordinating laboratory work and ensuring all relevant cases are tracked and managed appropriately
- Liaising with patients regarding appointments, treatment plans and fees
- Processing payments and maintaining accurate patient records
- Ensuring compliance with GDPR and patient confidentiality requirements
- Supporting clinicians and the wider team with administrative and organisational tasks
About You
Essential Requirements
- Previous experience working as a Dental Receptionist within a dental practice
- Experience using Exact dental software
- Excellent written and verbal communication skills
- Strong organisational skills and exceptional attention to detail
- Professional, confident and personable manner
- Ability to remain calm, efficient and organised in a busy environment
- A genuine passion for delivering outstanding customer service
Desirable
- Experience within a private or specialist dental practice
- Experience preparing treatment reports and managing e-signature workflows
- Knowledge of treatment coordination processes
