Full job description

Reporting To: Lettings Manager
Location: Leeds City office

Working Hours: 9.00am- 5.00pm Monday – Friday
Salary: Competitive

Role Overview

The Lettings Negotiator is responsible for driving occupancy through effective lead management, booking viewings, and delivering an excellent customer experience throughout the lettings journey. The role plays a key part in achieving leasing targets, building strong customer relationships, and supporting the wider Lettings and Operational teams in delivering client KPIs.

Key Responsibilities

Lettings & Customer Journey

Manage and respond to all lettings enquiries in a timely and professional manner.
Book property viewings, highlighting key features and benefits to prospective residents.
Build and maintain strong relationships with prospective tenants to maximise conversion opportunities.
Guide applicants through the lettings process from initial enquiry through to reservation and handover to tenancy progression.
Proactively follow up with leads and maintain regular communication to ensure an excellent customer journey.
Support occupancy targets through effective pipeline management and sales activity.

System & Record Management

Keep internal systems and CRM platforms updated with accurate applicant and lettings information.
Maintain clear records of customer interactions, viewings, and conversion activity.
Produce reports and updates on lettings activity when required.

Collaboration & Support

Report to the Lettings Manager and support the delivery of occupancy targets and client KPIs.
Work closely with Property Management and Operations teams to ensure a seamless customer experience.
Support wider team activities and provide assistance across departments where required.
Contribute to ad-hoc projects supporting the wider Ops team.

Quality & Compliance

Ensure all activity is conducted in line with company procedures and current legislation.
Maintain compliance standards throughout the customer journey.
Ensure customer information and documentation are handled accurately and securely.
Work within company policies, procedures, and agreed timescales.

Skills & Experience

Previous experience within a lettings, property, sales, or customer-facing environment.
Strong communication and interpersonal skills with the ability to build rapport.
Ability to work in a target-driven environment and manage multiple priorities.
Strong organisational skills with excellent attention to detail.
Confident in handling enquiries and delivering high levels of customer service.
Proactive, self-motivated, and results-focused approach.
Team player with a positive and accountable attitude.

Pay: From £26,000.00 per year
