Service Coordinator & Operations Administrator

We are a leading material handling and lifting equipment specialist, providing high-quality maintenance, emergency breakdowns, and statutory compliance inspections for industrial overhead cranes, hoists, and gantry systems. As our service department expands, we are seeking a highly organized, details-driven individual to take ownership of our day-to-day office operations, diary coordination, and compliance documentation.
The Role
This is a vital, fast-paced hybrid role designed for an administrative champion who can seamlessly balance fast-moving daily engineering logistics with meticulous documentation management. You will act as the primary operational hub connecting our engineering field teams, customer site contacts, and internal management.
Key Responsibilities
1. Service Coordination & Engineering Logistics
Diary Management: Coordinate the daily rotas and reactive breakdown call-outs for a team of field-based Overhead Crane Service Engineers.
Resource Optimization: Monitor job completion times, travel distances, and field engineer utilization rates to maximize efficiency.
Customer Interface: Act as the first point of contact for customer service requests, providing prompt scheduling updates and handling breakdown communications professionally.
2. Documentation & Compliance Administration
Timesheet & Hours Auditing: Review and cross-reference engineer timesheets and digital tracking systems to ensure accurate hours are captured for payroll and client billing.
Delivery & Parts Control: Process incoming parts delivery notes, matching them against open jobs and engineering requirements for crane repairs, rope changes, or modifications.
Statutory Compliance Filing: Ensure all field service reports, site delivery notes, and regulatory safety documents (LOLER / PUWER / OSHA equivalents) are accurately logged into our system and distributed to clients.
System Management: Maintain and update our service asset management database, tracking crane serial numbers, service histories, and defect notifications.
3. Fleet & Facility Support
Vehicle Fleet Tracking: Monitor and coordinate service van requirements, including scheduling routine maintenance, MOTs, breakdown repairs, and equipment calibrations.
Candidate Requirements
Proven Experience: Background working as a Service Coordinator, Logistics Administrator, Fleet Controller, or Senior Office Administrator within an engineering, manufacturing, construction, or automotive setting.
Exceptional Organization: The ability to prioritize shifting workloads, switch between reactive emergency planning and precise data entry, and maintain a sharp eye for detail.
Strong Communication: A confident telephone manner capable of handling industrial client enquiries and directing field teams.
Tech-Savvy: Proficient in standard office software packages (Microsoft Excel, Outlook, Word) and highly adaptable to field service management software or ERP systems.
Industrial Awareness (Desirable): Previous experience handling mechanical/electrical terminology, crane operations, or statutory lifting regulations is an advantage, but not essential.
