Job Overview
We are an accountancy and tax advisory firm based in Rayleigh, Essex, working with private clients and owner-managed businesses. We are a small, close-knit team and we are looking for an experienced Accountancy Practice Administrator to take ownership of the administrative side of the practice.

What you will be doing
The role covers everything that keeps a busy practice running. Some of the key responsibilities:
- Managing compliance workflows: sending information requests for compliance work, chasing clients for outstanding information, and making sure deadlines are tracked and met
- Being the main point of contact between clients and the team, answering calls and emails, handling queries and triaging to the right person
- Companies House filings: confirmation statements, director and shareholder changes, new shareholdings, incorporations, and identity verifications
- AML checks, engagement letters, and disengagement letters when clients join or leave
- Raising invoices through Xero, managing direct debit collections via GoCardless, and chasing unpaid fees
- VAT registrations
- HMRC calls, including penalty waivers
- Diary management for the Director
- Managing our central email inbox, scanning incoming mail, and posting to HMRC where needed
- Keeping client databases up to date on Accountancy Manager
- Staying on top of regulatory requirements, including ACSP obligations and GDPR compliance.
- Facilities and meeting room management
We are a cloud-based firm and are always looking for smarter and more automated ways of working. If you see something inefficient and have an idea to fix it, we want to hear it.
What we are looking for
Experience in an accountancy firm is a must. We are a small team and need someone who already understands how an accountancy practice operates and can quickly become an effective member of the team.
We want someone who takes real ownership of their work. If something needs doing, you do it. If a deadline is coming up, you are already on top of it. You are proactive rather than reactive and take pride in keeping things moving.
Experience with practice software such as Xero, Tax-Calc, Accountancy Manager, GoCardless, or similar systems is highly desirable.
More than that, you are the kind of person who looks at a process and thinks about how to do it better. We use automation wherever we can and we want someone who thinks the same way and brings their own ideas to the table.
You will be dealing with clients directly every day, so you need to be confident, warm, and able to handle a tricky conversation without it becoming an issue. You are the first impression a lot of clients get of the practice, and that matters to us.
This is not a role where you wait to be told what to do. It is a role where you take charge of the admin side of the practice and take pride in the fact that it runs well because of you.
Hours and location
This is a full-time, office-based role in Rayleigh. Core hours are 9:00 to 5:00, Monday to Friday. Following a successful probationary period, hybrid working arrangements may be considered for the right candidate.
What we offer
Salary £25,000 - £32,000 depending on experience. 28 days’ annual leave including bank holidays. You will have real autonomy in this role, with the support of the wider team when you need it. As the practice grows, there is scope for the role to grow with it.
