Job Overview
We are seeking a dedicated and organised Secretary to the Board to support our organisation in a volunteer capacity. This role involves providing essential administrative assistance to ensure the smooth functioning of board activities and meetings. The ideal candidate will possess strong organisational skills, be proficient in various office software, and demonstrate excellent communication abilities. This position offers valuable experience in governance and administration within a dynamic organisation committed to community service.

Duties

This volunteer position provides an excellent opportunity to develop organisational skills while contributing meaningfully to our organisation's mission. We welcome applicants who are proactive, reliable, and eager to support our governance functions through efficient administration.

Meeting coordination: Schedule and announce meeting dates, venues, and times to all members with proper notice. Work with the chair of trustees to prepare and distribute the agenda and supporting documents in advance.
Minutes and record keeping: Attend meetings and take accurate minutes, documenting key decisions, actions, and discussions. Distribute draft minutes for review and file approved versions securely.
Documentation: Act as the custodian of the organisation's key documents, including its constitution or governing documents, annual reports, and meeting minutes. Maintain up-to-date contact lists for committee members and other relevant parties.
Annual General Meeting (AGM): Assist in the planning and administration of the AGM, ensuring all members receive proper notice and information.

Qualifications and skills

Organizational skills: A methodical and highly organized approach with a strong attention to detail.
Communication skills: Excellent written and verbal communication skills for drafting correspondence and minutes and for liaising with other members.
Confidentiality: The ability to handle sensitive and confidential information with discretion.
Teamwork: A cooperative attitude and the ability to work constructively with the board chair and other volunteers.
IT proficiency: Comfort with standard office software (e.g., word processors, email) and a willingness to use digital filing systems.
Reliability: Dependable with good time-keeping to ensure administrative tasks and meetings run smoothly.
