The Registry support all aspects of the student journey, right from initial enquiry and application, all the way through to final award and student completion. Student Records and Awards

Student Records and Awards support students throughout their whole student journey, from organising their first steps at enrolment to playing an integral role in students finally crossing the stage at graduation. Student Records and Awards works alongside our other colleagues in the Registry, to provide an outstanding service to all our users. Registry teams work collaboratively with stakeholders to deliver a high-performance culture that promotes wellbeing, diversity, and opportunity for all, supporting excellent student experience.

About the role

This role will be primarily based within the Fees theme of the Student Records and Awards team and will play a key part in supporting the University’s core student finance and tuition fee operations during a critical period. Daily activities will include student finance operations, the administration and accurate charging of tuition fees, and the processing of fee waivers. This work is essential to ensuring fees are applied correctly, funding is released in a timely manner, and the University meets its financial, regulatory, and compliance obligations.

Alongside this specialist focus, the role will also contribute to other key Student Records and Awards activities, including enrolment and graduation, providing flexible support across the team as required. You will also support students in our Student Hub. The role requires a high level of attention to detail, strong organisational skills, and a commitment to accuracy, ensuring processes are delivered to a consistently high standard.

As part of Student Records and Awards, the role supports students throughout their entire journey, from their first steps at enrolment to the culmination of their studies at graduation, working collaboratively with colleagues across Registry to deliver an outstanding service and a positive student experience.

This is a fixed term contract until the end of January 2027.

About You

We are looking for a motivated and reliable individual who is keen to learn and develop, rather than someone who necessarily has prior experience in student records, fees, or student finance. Full training and support will be provided, so a willingness to learn, ask questions, and build confidence in new processes is essential. Prior experience in this area would be an additional benefit.

The ideal candidate will be well organised and demonstrate strong attention to detail, taking pride in delivering accurate work and striving for high standards. Given the nature of the work, the ability to manage tasks effectively, follow processes carefully, and meet deadlines is important.

We are also seeking someone who can work independently, taking ownership of their responsibilities, while also contributing positively as part of a collaborative team. The role involves working closely with colleagues across Student Records and Awards and the wider Registry, so strong communication skills, a helpful attitude, and a commitment to supporting shared goals are key to success.

Principal accountabilities

Assess, monitor and manage student records and enquiries effectively, acting as the key contact for students, academics and programme support administrators.

Understand the importance and responsibility of the enrolment, attendance, financial, academic and assessment record of each student which drives the student fee charged, funding issued and award given.

Manage enquiries and contact from external stake holders, including but not limited to, Student Loan Company and assist students with their student finance and funding journey.

Manage and maintain accurate student record transactions and data to enable concise reporting for institutional decision-making, strategy development, internal audits and external returns e.g. Student Loans Company, HESA and university league tables. Be proactive and transparent in completing any required investigative and remedial work to maintain accuracy.

Maintain and help evolve further the student-centred culture to support institutional goals for student experience, retention and progression. In doing so, to continually adopt and adjust your approach and methodology to manage conflicting priorities when supporting student needs.

Uphold, understand and guard the student and academic regulations and policies for the institution and the interpretation of them. Hold the same regard for other internal/external policies and procedures.

Work with the Student Records and Awards Officer to implement practice which enhances the student experience and upholds the values of equality and social inclusion.

Ensure that customer service provided to University staff and students is delivered as expected and to a high standard. Assist in establishing service level agreements with internal customers and service providers.

Attend as required and feedback on information received from external meetings, conferences and training.

Support student records and awards presence at all recruitment and conversion events as required e.g. open days, applicant days, outreach events which may be located off-site to provide guidance and information about Tuition Fees, Student Loans and Funding.

Help develop content/information and deliver presentations/talks as required for the purpose of training other teams as part of our governance role at the University and to assist with outreach.

Actively engage and participate in the buddy system in place to enable continuation of service during the absence of colleagues.

Ensure clear, effective and timely communication as appropriate to internal and external stakeholders. Maintain accurate records to enable evidence-based challenge and support.

Using available audits and monitoring processes ensure quality assurance of own work and effective prioritisation to avoid creating bottlenecks and delays.

Engage fully with regular one-to-ones, objective setting and performance review processes. Understanding that these procedures are for individual feedback and development and will need your time and investment.

Help ensure that at all times the student records and awards team act in a responsible, professional manner and comply with General Data Protection Regulations (GDPR) and data security legislation/policy. In doing so, ensure data is extracted, shared, handled and stored appropriately and removed responsibly in accordance to the University’s retention policy.

Attend all training and development opportunities as required to ensure relevancy of practice and compliance.

Provide a good level of technical expertise, support and tactics to benefit effectiveness of operational activity, student experience and compliance.

Engage and participate in service projects and provide professional opinion and information as required.

Contribute to and assist with preparing for service events, team meetings, briefings, committees/groups and training.

Assist with delivering a programme of induction and training for new staff to help ensure a deep understanding of relevant procedures, delivery schedule, systems, data/reporting, compliance requirements and technicalities. This includes full participation in mentoring new team members in day-to-day activities.

Assist with collating information for responses to FOI, Subject Access Requests and informal/formal admissions complaints as expected.

On occasion undertake supervisory responsibilities as required.

Actively engage with and support digital/technological advancement of the service and the team.

Ensure good engagement with staff development opportunities in line with the Registry Workforce development plan.

Qualifications

Level 3 qualifications such as A-Levels, BTEC Extended Diploma or equivalent qualification, with GCSE Maths and English at Grade 4/C or equivalent or comparable knowledge and transferable skills gained through professional experience

Experience

Experience of working in a team within a busy administrative environment
Experience of using data to review accuracy of records to ensure correct record keeping (For example, reviewing Student Loan Company applications to ensure they match a student's study pattern)
Demonstrable experience of adapting to and managing change in the workplace at a personal level
