Ravenswood Surgery is a busy and helpful GP practice, with the aim to be 'working together for better health'. We are looking for an enthusiastic, friendly and hard working person to join our reception team.
The purpose of the role is to:
- Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
- Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
- Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team
- Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

Duties and responsibilities:
The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the following items. Duties may be varied from time to time under the direction of the senior receptionist/practice manager, dependent on current and evolving practice workload and staffing levels:
- Maintain and monitor the practice appointments system
- Process requests (in person or by telephone) for appointments, visits and telephone consultations, and ensure callers are directed to the appropriate healthcare professional
- Process and distribute/file incoming and outgoing mail
- Take messages and pass on accurate information
- Process repeat prescriptions in accordance with Practice guidelines
- Computer data entry; process and record information in accordance with practice procedures
- Advise patients of relevant charges for private services; accept payment and issue receipts for same
- Assist patients seeking to register with the practice, including those needing temporary cover
- Initiate contact with and respond to requests from patients, other team members and associated healthcare agencies and providers
- Provide clerical assistance to practice staff as required, including word/data processing, filing, photocopying and scanning
- Order, re-order and monitor stationery and other supplies
- Keep the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
- Depending on work hours, open up/lock up practice premises, and maintain security in accordance with Practice protocols
- Undertake any other additional duties appropriate to the post as requested by the GP partners or the Practice Manager

We are looking for somebody who is:
- A good communicator (both verbal and written)
- Able to listen and empathise
- Able to work flexible hours to suit the needs of the team
- Comfortable working with IT, and able to learn new systems and procedures
It would be an advantage to have skills in working within a team, dealing with members of the public, multi-tasking and prioritising, and typing/word processing.
About the job:
- Job Type: Permanent, part-time
- Hours: 15-20 per week, within the hours of 7.45am and 6.15pm Monday to Friday (days to be confirmed)
- Salary dependent on experience, within Practice pay bands (currently £12.64 – £14.84 ph)

Person Specification:
Essential:
- Experience working in a customer service environment, and/or dealing with members of the public.
- Good general secondary educational standard, particularly in English and Arithmetic.
- IT literate, with experience in using MS Office.
- Team worker.
- Good communicator (both written and verbal).
- Able to listen and emphathise.
- Effective time manager.
- Good organiser.
- Hard worker.
- Committed to continuing personal development in response to changing demands of general practice.
- Calm and patient.

Desirable:
- Experience in NHS/primary care/caring profession, ideally in a General Practice.
- Knowledge of Medical Terminology would be beneficial.
- Higher/college education.
- Experience with Vision/Docman software.
- Experience of working within a busy office environment.
