Duties
Administrative:
· General office tasks – including keeping the practice organised, tidy, clean and stocked
· Patient records – creating, updating and organising paper and electronic records in accordance with Government GDPR standards
· Scanning, sending and receiving reports, referral letters, clinical data and other correspondence
· Processing post, orders for goods, NHS claim forms and payments
Financial:
· Use of til – taking cash and card payments, end of day cashing up and reporting
· Setting up and amending Direct Debit payments
· Reconciling NHS and other customer payments
Communication:
· Being the first point of contact for patients, suppliers and outside organisations
· Managing appointments in the diary – taking, amending bookings and confirming bookings
· Meeting and greeting patients on arrival
· Establishing eligibility for NHS services and explaining charges
· Giving basic advice to patients regarding their clinical and optical care
Personal Profile
· You must have excellent communication skills, be well presented, confident, with a pleasant and caring manner. Our patients must feel welcome and valued at the practice. You must be able to deal with queries professionally and empathise with people who may feel anxious about their eyesight.
· You need to be well organised, accurate in your work, and efficient. You need to be able to work as part of a team and be calm and flexible when certain jobs need prioritising.
· You need to be confident using computers; training will be given for our in-house system.
· You need to be reliable, honest and trustworthy. You need to be able to get on well with the other staff. Experience in a reception/administrative setting is preferred but full training will be given.
Hours of work:
· 08:45 – 5pm Monday to Friday (one hour for lunch)
· 08:45 – 4pm Saturday (half an hour for lunch)
