Full job description

Job Summary

We are seeking a highly organised and client-focused Logistics Operative to join our events and operations team. The successful candidate will play a key role in managing festival logistics, handling client bookings, coordinating event schedules, and ensuring smooth operational delivery. This role involves working extensively with Excel, internal booking/payment systems, and WordPress-based tools to manage data, communicate with clients, and keep financial records accurate and up to date.

This is a paid position suited for individuals with a background in logistics, event coordination, applicants with Advanced Excel, VBA, and experience with WordPress plugins such as Fluent Forms, Fluent Support, WPForms, and WooCommerce would be a advantage in the role.

Due to growth, we are looking forward for applicants who can start with immediate effect.

Duties

Manage and track client bookings through internal tools and WordPress-based form systems Ideally (e.g., Fluent Forms, WPForms)
Ideally, use Fluent Support or other WordPress CRM/ticketing tools to handle client enquiries and follow-ups
Create and send invoices to clients, track payments using Excel, and ensure timely follow-up on outstanding balances
Maintain accurate records across multiple systems and reconcile payments across Excel sheets and WordPress dashboards
Ideally Utilise Advanced Excel and VBA macros for data processing, automation, and generating dynamic reports
Monitor festival registration data via WordPress, and ensure real-time updates are reflected in reports and operational tools
Coordinate logistics schedules and team requirements for each festival, ensuring smooth delivery of services
Communicate professionally with clients regarding bookings, payments, logistics, and support queries
Collaborate with internal teams and third-party vendors to align logistics with festival requirements
Contribute to the improvement of operational workflows, using both Excel automation and WordPress tool integrations

Qualifications

Proven experience in logistics, operations, or event coordination roles
Ideally Strong proficiency in Microsoft Excel, including advanced formulas, pivot tables, dashboards, and VBA
Ideally Experience using WordPress tools such as Fluent Forms, Fluent Support, WPForms, or WooCommerce
Familiarity with invoicing, payment reconciliation, and client communication workflows
Excellent organisational and multitasking abilities
Strong written and verbal communication skills
Attention to detail and ability to manage time-sensitive tasks
Experience working with data entry, reporting, or CRM systems within a WordPress environment is a plus
