Job Title: HR Administrative Assistant - Maternity Cover
Role reports to (Job Title): Trust HR Business Partner
Job Purpose:
Under the direction of the Trust HR Business Partner, to provide efficient and effective recruitment and HR support support to Trust schools in line with safer recruitment standards, Trust policies and procedures, employment legislation and best practice.
Key Accountabilities:
Recruitment Responsibilities
Have responsibility for recruitment within the Trust, which includes but is not limited to:
· Ensuring all recruitment takes place as required in line with the Trust recruitment policy.
· Advertising vacancies on Eteach, Indeed and other sites as appropriate.
· Organising interview days and ensuring these are carried out effectively.
· Processing and issuing employment offer paperwork.
· Liaising with the HR Business Partner to ensure grades and other aspects of employment are correct and consistent with what is being applied across the Trust.
· Ensuring that all new staff are fully safeguarded in line with our internal and statutory responsibilities including arranging DBS applications
· Carrying out appropriate right to works check to ensure statutory compliance.
· With the Trust HR/Payroll Administrator, carrying out onboarding using the Edupay system.
· Compiling the required information for schools to ensure new staff are recorded on the Single Central Record.
· Ensuring staff have the benefit of local and Trust induction.
· With the Trust Central HR Team, ensuring that all new staff are registered for platforms such as staff benefits and training/appraisal portals.
· Ensuring that staff have read all required policies and carried out required training such as Child Protection and Fire Safety.
· Ensuring that the Trust HR Business Partner is kept up to date with current activities, particularly where there may be areas of risk for the Trust.
· Maintaining individual staff records on the MAT Management Information System (currently Arbor).
· All other duties which ensure safe and effective recruitment.
HR Administrative Responsibilities
· Working with the Trust Central HR team to process leavers, acknowledging letters of resignation, notifying relevant departments to cancel logins, badges etc., updating Arbor and arranging exit interviews as appropriate.
· Recording of Maternity Leave.
· Completion of the annual School Workforce Census.
· Other tasks as requested and agreed by Trust HR Business Partner.
Supplementary Accountabilities:
· Have an understanding of the challenges and opportunities of an HR/Recruitment function in a growing multi academy trust.
· Use this knowledge to contribute fully to the aims of the MAT.
· Develop relationships and communicate with appropriate organisations such as; other academies, Trades Unions and occupational health providers.
· Share expertise and skills with others
· Participate in training and other learning activities as required
· Maintain a good level of current knowledge on HR/Recruitment matters
No job description can be exhausted and the duties may alter in practice over time. The post holder is expected to use his/her professional judgement to ensure that the online co-ordinator role continues to evolve and develop in line with the Trusts changing requirements.
Job Scope:
This role does not have line management responsibilities.
Knowledge and Experience:
· Strong initiative and ability to make decisions within a specified framework.
· Solid administrative background
· Experienced in taking performing in line with processes and procedure and comfortable with this level of responsibility.
· Full working knowledge of Microsoft Office and Microsoft Outlook
· Working knowledge of relevant policies, codes of practice, legislation and employment law
· Good communicator with both adults and children
· Able to work constructively as part of a team, understanding roles and responsibilities within the HR and payroll teams.
· Have attended, or be willing to attend, Safer Recruitment training.
Decision Making:
Decision making on day-to-day activities, with reference to the HR Business Partner where relevant.

· HR Colleagues
· Senior Management and all Trust employees
· Occupational Health and other external organisations and service providers
· Other Academies and other statutory bodies as appropriate
Creativity and Innovation:
The post holder will work closely with the Trust HR Business Partner to ensure that the HR function consistently adapts in a changing environment, reflecting best practice at all times.

In accordance with the provisions of the Freedom of Information Act 2000, ensure requests for non-personal information are dealt with in accordance with the Academy’s written procedures.
