Job Title Office Manager

Hours of work Part Time (28 to 32 hours per week to be agreed)
Salary Competitive with Annual Bonus based on achievement
The role:
We are looking for a new dynamic manager to oversee the day-today operation and long-term development of Prestatyn Golf Club, working closely with the Captain and President, Club Council, Office Administrator, Green Staff and Franchisees in the Pro-Shop and Bar and Catering.
The successful candidate will ensure the club operates efficiently, professionally and profitably and enhance both the Member and visitor experiences. Previous Golf Club experience is desired alongside Sage Accounting, IT literacy and social media / marketing experience in a relevant leisure industry to increase visitor and Society bookings and restaurant sales.
Key Responsibilities:
· Manage all aspects of the Clubs administration including:
o Working with a part time office administrator
o Procurement
o Invoicing
o Banking
o Fixtures / Diary
o Use Wales Golf, Club V1 and BRS Apps to control membership renewals and new membership applications
o Committee meeting minutes and notes
o Insurance
o Club security / fire alarm tests
o Members communication
o Visitor and society bookings and payment
o Answer all incoming telephone calls and emails in a timely manner
o Work with the Pro Shop and catering Franchises to ensure smooth operation
· Manage all aspects of the Club’s finances including:
o Ensure all monies are accounted for and banked in a timely manner
o Meet all period end targets and deadlines
o Pay all debtors in a timely manner including PAYE, VAT and HMRC
o Ensure payroll runs effectively and on time in Liaison with the accountant
o Report to the committee monthly, as a minimum highlighting increase / decrease in revenue year on year via P&L and forecasting
o Ensure cash flow is optimised and surplus monies work for the Club
o Run weekly / monthly reports on revenue from Pro shop and Catering and Bar takings
· Promote and organise day to day diary events including
o Use social media to ensure the club increases turnover
o Sell agreed green fees for visitors and societies
o Ensure the Club’s Website is up to date and relevant
o Build and maintain a beneficial relationship with all golfing bodies, such as Wales Golf, local golf clubs and other appropriate entities
o Liaise with the professional for Club Opens, Winter series, Corporate Events etc
· Control all aspects of day-to-day People management including:
o Ensure all “staff related policies” are up to date
o Help retain and recruit staff as required
o Ensure members and visitors enjoy a welcome and enjoyable experience within the Clubhouse
· Liaise with the Head Course Manager to ensure the course is the best it can be
o Work with Head Course Manager to keep to budgets and overtime plan
o Ensure members are kept up to date with regular updates from the Head Course Manager
· Manage all areas of internal and external communication pertinent to PGC including:
o Communicate with all Committee Members, Club Members, visitors and societies
o Communication with Club Professional and Catering Manager
o Utilise Email, social media, and keep Notice Boards and Signage up to date
· Ensure the club’s assets are maintained including:
o Work with relevant sub-committees to ensure all policies are up to date i.e.; Health and Safety, fire safety, lone working etc
o Ensure the Club’s assets are fully maintained
o Ensure an agreed cleaning regime is in place
o Notify the Committee of any infrastructure issues on a regular basis.
