Job Title: Personal Assistant

Salary: The starting salary is £40,519, which includes allowances totalling £3,009.

The salary is broken down as £37,510, basic salary, which will increase annually until you reach the top of the scale £40,141. Plus, a location allowance of £2,009 and a non-pensionable allowance of £1,000.

Location: Westminster

The Professionalism Private Office is looking for a dynamic, self-motivated, and organised individual to join the team as Personal Assistant to the Deputy Assistant Commissioner (DAC Andy Valentine).

Location: Split across two sites - New Scotland Yard, Westminster and Cobalt Square, Vauxhall

Working Pattern: One WFH day per week depending on operational demand

Description

The role holder will provide comprehensive, confidential, and professional support service in all aspects concerned with the efficient and successful operation of the Professionalism Private Office and wider organisation.

The PA role is a ‘front of house’ role and is often the initial contact point along with other members of the Private Office. Across all groups contact is made face-to-face, through email or telephone. The stakeholders include:

DACs, Commanders and Directors
Met Executive including Management Board; daily contact, the purpose of which ranges from coordinating of Directorate objectives and priorities in support of business group risks/delivery, diary management and event planning.
Responding to high-risk queries, complaints and managing expectations.
Directorate SLT (Senior Leadership Team); daily, enabling delivery of their function’s priorities.
Other Private Offices; enabling link up between work/actions across directorates.

Knowledge

Knowledge of and interest in the Professionalism Directorate
Knowledge of and strong ability in ICT applications such as Microsoft (Outlook, Word, Excel, PowerPoint, SharePoint, Teams and Calendar functions).

Skills

Managing electronic diaries, organising meetings and events on behalf of DAC Professionalism with a wide range of internal and external contacts, prioritising a busy diary and coordinating across varied venues, both internal and external
Preparation of meetings and travel itineraries
Arranging logistics with internal and external stakeholders, such as booking meeting rooms, travel, accommodation, visitor passes and escorting visitors.
Effective minute taking of high profile and confidential meetings
Creating agendas for meetings and recording and tracking actions
Communication skills, with the ability to work well with a range of people at all levels, stakeholder management (internal and external) in both written and verbal format
Time management and prioritisation skills to meet demanding targets and deadlines
Ability to work under pressure and manage multiple competing demands and priorities
Managing databases and electronic filing storage systems
Undertaking research for projects/briefing papers, collating information from a range of sources to produce draft responses
Monitor and input into calendar On Call rotas for the DAC including NPCC, CT Commander and Gold Public Order Commander
Support principles with administration for their National Portfolios as required
Provide cover and resilience for the other Private Office PAs when required
Demonstrate professional standards, good judgement, integrity and confidentiality

Experience

Experience providing designated support at a senior level
Experience managing/prioritising a busy workload effectively, to co-ordinate tasks and conflicting demands to ensure tight deadlines are met
Experience using own initiative, being proactive and dealing with specific queries as they arise
Experience ensuring attention to detail and gathering, analysing, tracking, and collating complex and confidential information
Experience drafting responses to queries

Desirable Criteria

Knowledge of and interest in the Professionalism Directorate
Understanding of the current challenges and future direction of the organisation
An interest in additionally supporting the DAC with his operational portfolio (Counter Terrorism, NPCC and Public Order)
