Job Overview
We are looking for a professional and organised Receptionist/Office Administrator to join our team. The successful candidate will be responsible for managing front desk operations, providing administrative support, and ensuring the smooth running of daily office functions. Responsibilities
- Welcome visitors with a friendly and professional manner, ensuring they feel comfortable.
- Offer and prepare refreshments for visitors.
- Arrange catering for large meetings and ensure the reception and boardroom areas are clean and presentable.
- Answer incoming calls confidently, transferring or taking messages as needed.
- High-volume scanning, shredding, and accurately digitally filing documents.
- Assist various departments with administrative tasks as required.
- Assist with invoicing and project closures.
- Manage incoming and outgoing mail, including sorting, distributing, and arranging collections or deliveries.
- Maintain and operate the franking machine.
- Organise maintenance for office/building equipment and liaise with suppliers to resolve issues promptly.
- Order and manage office and kitchen supplies, handling any ad-hoc requests.
- Maintain office security and safety procedures by controlling site and building access via the reception desk (monitoring the logbook, visitor attendance, and fire roll call records).
- Follow health and safety procedures to ensure a secure and safe working environment.
- Maintain and update the company's social media channels with relevant content.
- Advance team integration by organising office activities, such as lottery syndicates, sweepstakes, or fun office days to enhance morale.
Qualifications
- Previous office experience or administrative experience is preferred
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organisational skills with the ability to prioritise tasks effectively
- Demonstrated professionalism in phone etiquette and customer service
- Ability to work independently and as part of a team in a fast-paced environment
- Strong attention to detail and organisational skills are essential for success in this role
This role is 100% onsite based at Trafford Park, M17 1BL.
Pay: £24,500.00-£25,500.00 per year
