Full job description

Overview
We are seeking a highly organised and detail-oriented Office Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of daily administrative functions within our organisation. The ideal candidate will possess strong computer skills, excellent communication abilities, and prior office experience. This paid position offers an opportunity to develop professional skills in a dynamic environment, supporting various administrative tasks and contributing to overall office efficiency.

Responsibilities

Manage incoming calls with professional phone etiquette, directing enquiries appropriately
Organise and maintain filing systems, both electronic and paper-based, ensuring easy retrieval of information
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks where applicable
Assist with scheduling appointments and coordinating meetings for team members
Prepare correspondence, reports, and other documents with attention to detail
Support invoicing and billing processes through QuickBooks or similar programmes
Handle general clerical duties such as photocopying, scanning, and mailing documents
Maintain an organised workspace and ensure supplies are stocked as needed

Qualifications

Proven office experience or administrative experience in a professional setting
Strong computer literacy, including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
Experience with QuickBooks or similar accounting software is advantageous
Excellent organisational skills with the ability to prioritise tasks effectively
Strong typing skills with high accuracy and speed
Good communication skills, including courteous phone etiquette
Ability to perform data entry accurately and efficiently
Demonstrated organisational ability to manage multiple tasks simultaneously

This position requires a proactive individual who can adapt quickly to changing priorities while maintaining a high standard of work. Applicants should be reliable, professional, and eager to contribute positively to our team environment.

Working Hours: Full-time position available on either a 35-hour or 40-hour contract, Monday to Friday. Occasional Saturday work may be required during particularly busy periods.

Pay: From £24,420.00 per year
