Role Overview
We are seeking a proactive and highly organised Property Manager to manage a portfolio of residential properties across Aberdeen and Aberdeenshire. The role involves full property and tenancy management, including conducting property viewings, coordinating maintenance, ensuring compliance with Scottish legislation, and managing financial administration such as processing and uploading invoices. A full UK driving licence is required.
Key Responsibilities
Property & Tenancy Management
- Manage a portfolio of residential rental properties in accordance with Scottish legislation
- Act as the main point of contact for landlords and tenants
- Conduct regular property inspections and follow up on any issues
- Manage tenant queries, complaints, and dispute resolution in line with the Letting Agent Code of Practice
Viewings & Lettings Support
- Carry out property viewings with prospective tenants
- Provide accurate information regarding properties and tenancy terms
- Liaise with landlords and the lettings team to support efficient re-letting
- Provide viewing feedback and assist in minimising void periods
Maintenance & Contractor Management
- Arrange, instruct, and oversee property repairs and maintenance
- Obtain and assess contractor quotes where required
- Ensure works meet Repairing Standard requirements
- Monitor job progress and confirm completion to an acceptable standard
Financial & Invoice Processing
- Process, review, and upload contractor and supplier invoices
- Match invoices to completed works and approved quotations
- Accurately allocate costs to the correct property and landlord account
- Liaise with contractors regarding invoice discrepancies
Compliance & Legal (Scotland)
- Ensure properties comply with Scottish housing legislation, including:
- Repairing Standard & Tolerable Standard
- Gas Safety, Electrical Safety (EICR), and PAT testing
- Legionella risk assessments
- EPC requirements
- Maintain accurate compliance records and documentation
- Assist landlords in meeting their statutory obligations
Administration & Reporting
- Maintain accurate property, tenancy, and compliance records
- Upload and manage documentation within property management systems
- Prepare reports for landlords on maintenance, compliance, and property performance
Skills & Experience Required
- Previous experience in residential property management or a similar role
- Strong administrative and organisational skills
- Experience handling property-related finances and invoice processing
- Excellent communication and customer service skills
- Ability to manage a varied workload across multiple properties
- High attention to detail and a proactive approach
Essential Requirements
- Full UK driving licence
- Willingness to travel across Aberdeen & Aberdeenshire for inspections and viewings
Desirable (but not essential)
- Knowledge of the Housing (Scotland) Acts and Letting Agent Code of Practice
- ARLA / CIH qualification or working towards
- Experience using property management software
