Hours of work: 20 hours/week
Duration of contract: Fixed-term 1 August 2026-31st May 2027 (10 months) maternity cover (possibility of extension, subject to funding)
Gross Pay: 20 hours/week = £1302.08/month (£25,000 per annum pro rata)
Pension: Porthi Aber uses the Nest Pension Scheme for making pension contributions
Holiday entitlement: 17.2 days inclusive of bank holidays over the fixed-term period (Bank holidays are not automatically booked off)
Working days: Mondays, Tuesdays, Thursdays. Please note, the role requires the post holder to be available at set hours of work on Mondays, Tuesdays and Thursdays and includes some unsociable hours

About the role - roles and responsibilities:
The role is to ensure the successful and efficient running of the Bwyd Dyfi Hub including liaising with producers, updating the online shop, collating the orders, running the packing day with a team of volunteers and Hub and customer administration.
The workflow is as follows. Note that some activities have to take place on set days, but other administrative tasks can be done more flexibly.
- Updating the weekly online shop offer; Checking that the listings of any local producers are updated correctly, and include appropriate images - liaising with producers where further action is required
- Identifying any produce gaps in what is available from local producers, and creating product listings from the stock available that week from a local organic wholesale company
- Communications with customers and producers
- Setting up and making adjustments to subscription orders
- Marketing: writing the content for, and actioning a mailshot announcing the opening of the shop (utilising the Mailerlite system)
- Processing customer orders: downloading data from the Growing Good platform and collating orders.
- Produce packing lists, and collating orders for producers; uploading files and data to a shared drive
- Emailing orders to producers/suppliers. Checking email responses from suppliers (in the case of stock shortages and making any required substitutions)
- Finances; uploading and then paying invoices, recording income and expenditure
- Responding to customer emails (general enquiries, complaints and refunds as required)
- Coordination of the packing day with a team of volunteers
- Collating customer orders
- Photographing stock for future shop listings and social media posts
- Recording standing stock levels to assist in ordering the next week
- Inducting and supervising new volunteers. Managing the team of volunteers on the day.
- Liaison with Transport Coordinator / relief drivers
- Maintaining health & safety standards of the hub space, and ensuring volunteers are trained and confident in health and safety practices.
- Maintaining cleanliness of the shared hub space, including setting up and setting down for packing day alongside volunteers
